We are seeking an organized, proactive Permit Coordinator / Admin to keep our project pipeline running seamlessly from inception to completion.
Overview
Join our dynamic team as a Permit Coordinator/Admin, where your organizational prowess and administrative expertise will keep our operations running smoothly and efficiently. In this dual-function role, you will oversee project documentation, manage permit applications across various jurisdictions, and maintain clear communications among project managers, sub-contractors, and city/county officials. Your proactive approach and attention to detail will ensure compliance, streamline workflows, and support the overall success of our projects.
Duties
- Research, prepare and track permit and utility applications, renewals, and approvals across multiple departments.
- Review plans and documentation to ensure submittal packages meet municipal requirements.
- Process and organize project paperwork, including Change Orders, Submittals, Requests for Information (RFIs) and Certificates of Insurance (COIs).
- Maintain organized filing systems for permits, documents, and correspondence, ensuring easy retrieval and confidentiality.
- Assist with data entry tasks using Microsoft Office programs and QuickBooks for bookkeeping and record keeping.
- Support office management functions including scheduling appointments, managing calendars, and assisting with general administrative duties.
- Support client communication efforts through phone support, email correspondence, and follow-up activities.
- Provide personal assistant support to team members as needed (including occasional errands) to facilitate smooth daily operations.
Experience
- Previous office experience in administrative or clerical roles with a focus on permit coordination or project support preferred.
- Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and QuickBooks or similar bookkeeping software.
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment.
- Demonstrated experience in data entry, proofreading, filing, and managing multiple responsibilities simultaneously.
- Bilingual capabilities are a plus (but not necessary) to enhance client interactions and team collaboration.
- Florida Notary (not necessary).

Pay: $24.00 - $28.00 per hour
