The Role
We are looking for an experienced Purchasing & Logistics Coordinator to join our operations team. This is a focused, self-directed role with clear scope — you own purchasing and delivery execution on assigned projects from order confirmation through receipt of goods at the project site.
You will work within established vendor relationships and purchasing systems to ensure equipment arrives on time, on spec, and correctly documented across multiple active projects simultaneously. This role reports to our Purchasing Lead.
Responsibilities
- Issue purchase orders for tanks, accessories, controls, and specialty equipment based on confirmed sales orders
- Coordinate production scheduling with vendor manufacturing facilities
- Manage trucking and ocean freight logistics — including deliveries to military installations, federal facilities, and international project sites
- Track shipments and coordinate delivery schedules — confirm site access requirements, crane and rigging needs, and delivery contacts
- Coordinate warranty and service support between manufacturers and customers
- Communicate purchasing status and delivery updates to internal teams
- Maintain organized project documentation across all active jobs
Qualifications
- 2–4 years of purchasing, procurement, logistics, or operations coordination experience
- Background in petroleum equipment, industrial equipment, construction, or mechanical systems strongly preferred
- Experience coordinating freight logistics including trucking and ocean freight preferred
- Experience with ERP or purchasing software; Sage 100 a plus, training provided
- Self-directed and reliable — you will manage multiple active projects simultaneously with limited supervision
- Strong organizational skills and attention to detail
- Clear written and verbal communication
- Proficient with Microsoft 365
- Bachelor's degree preferred; equivalent practical experience considered
- Based in or able to commute to Herndon, VA — this is a full-time in-office role
