Overview:
We are seeking a dynamic and highly organized Office Admin to join our team! This vital role offers an exciting opportunity to streamline daily operations, support team members, and ensure the office runs smoothly and efficiently. This paid position provides a chance to develop your administrative expertise while contributing to the success of our organization. While there may be some flexibility on total weekly hours (35-40), the ability to present promptly by 7:00 A.M. on a daily basis is a prerequisite.
Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
- Operate multi-line phone systems, handle incoming calls with courtesy, and direct inquiries efficiently
- Maintain organized filing systems, including physical, digital, and personnel, ensuring easy access to important documents
- Perform data entry tasks accurately using Microsoft Office programs
- Support bookkeeping activities using QuickBooks, including payables, employee time sheets, expense tracking, and financial record keeping
- Assist with calendar management and scheduling for team members or executives to optimize time utilization
- Handle confidential information with discretion, ensuring privacy and security at all times
- Provide excellent customer service by responding promptly to client inquiries and supporting client communication efforts
- Support office management tasks such as scheduling truck freight, maintaining office equipment, and coordinating repairs or services
- Perform clerical duties including preparing reports, and managing correspondence
Skills
- Strong proficiency in Microsoft Office (Word, Excel, Outlook)
- Experience with QuickBooks or similar bookkeeping software is desirable
- Excellent organizational skills with keen attention to detail in filing, data entry, and preparation of shipping documents
- Good phone etiquette skills with ability to learn multi-line phone systems and providing customer support
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members
- Strong time management skills to prioritize tasks effectively in a fast-paced environment
- Previous office experience or administrative experience is preferred, but willingness to learn new tasks with self-motivation is also invited
- Ability to adapt to learn new software and procedures with basic computer literacy skills
- Demonstrated organizational skills for calendar management and scheduling coordination
Pay: $18.00 - $24.00 per hour
