ABOUT THE JOB
The Human Resources File Clerk provides administrative and records-management support to the Human Resources department, with primary responsibility for maintaining accurate, organized, and confidential employee records. This position supports Employee Relations, Leave, Workers' Compensation, and other HR functions through document management, data entry, file maintenance, records auditing, and timely processing of HR-related documentation.
The HR File Clerk is expected to maintain a high level of confidentiality, accuracy, organization, and customer service while helping the HR department maintain efficient and consistent recordkeeping processes.
WHAT YOU'LL DO
- Maintain accurate, organized, and confidential electronic and paper employee records in accordance with established HR processes and record-retention requirements.
- Receive, review, sort, scan, index, upload, file, and distribute HR-related documents.
- Ensure documents are accurately associated with the appropriate employee record and maintain consistent naming, filing, and indexing practices.
- Audit employee files for completeness and accuracy and assist with correcting missing, outdated, or improperly filed documentation.
- Maintain records associated with Employee Relations matters, including corrective actions, performance documentation, Performance Improvement Plans, investigations, and other confidential HR documentation.
- Provide administrative support for Leave and Workers' Compensation processes, including organizing documentation, maintaining files, tracking received information, and assisting with follow-up as directed.
- Retrieve and provide HR records and information to authorized HR personnel in a timely manner while maintaining confidentiality.
- Maintain appropriate tracking logs and spreadsheets related to HR records and administrative processes.
- Assist with the preparation, organization, and distribution of HR documents, forms, correspondence, and reports.
- Assist with incoming and outgoing mail and other HR department administrative needs.
- Support the HR team with records requests, audits, projects, and other administrative activities as needed.
- Identify opportunities to improve filing, document-management, and administrative processes, including opportunities to reduce paper and improve electronic recordkeeping and efficiency.
- Maintain accurate records of documents received, filed, removed, or otherwise processed.
- Provide professional and responsive customer service to employees, managers, HR team members, and other internal and external customers.
- May be required to drive a company vehicle.
- Regular and reliable attendance is required.
- Follow all company policies and procedures.
- Perform other work-related duties as assigned by your leader.
EDUCATION & EXPERIENCE
- High school diploma or equivalent is required.
- Previous administrative, records-management, office, or Human Resources experience is preferred.
SKILLS & QUALIFICATIONS
- Strong organizational skills and attention to detail are required.
- Ability to maintain accurate records and consistently follow established filing and documentation procedures.
- Ability to handle confidential and sensitive employee information with discretion and professionalism.
- Ability to prioritize multiple tasks and meet established deadlines.
- Computer skills, including working knowledge of Microsoft Office, are required. Experience with HRIS, document-management, or electronic filing systems is preferred.
- Ability to enter and maintain information accurately in electronic systems and spreadsheets.
- Ability to file and retrieve information using alphabetical, numerical, and electronic filing systems.
- Strong interpersonal and communication skills are required.
- Professional telephone and customer service skills are required.
- Ability to work independently while also supporting a collaborative HR team.
- Valid U.S. driver's license is required and must meet all company requirements to drive a Helena vehicle.
- Communicating in Spanish is a valuable skill at Helena.
- Successful completion of a drug test and background check is required for all positions at Helena.

WORK ENVIRONMENT & PHYSICAL ASPECTS OF THE JOB
The work environment for this position is that of a typical office environment where the noise level is mostly quiet. This position requires you to use your hands for many different tasks and to talk, hear, walk, stand and sit. You may be occasionally required to lift or move up to 10 pounds.
