Job Summary
This position plays a key role in ensuring efficient and cost-effective movement of goods, requiring the exercise of independent judgment and discretion in managing logistics operations. The individual is responsible for coordinating with carriers, vendors, and internal departments to optimize shipping activities, resolve issues, and ensure timely delivery while adhering to company policies and regulatory requirements. This role involves analysis of transportation data, evaluation of carrier performance, and making recommendations for process improvements.
Essential Duties and Responsibilities:
- Carrier Performance Management: Evaluates carrier performance based on key metrics, identifies areas for improvement, and makes recommendations to optimize carrier selection and relationships.
- Quoting and Negotiation: Manages the request for quote (RFQ) process, analyzes bids, negotiates rates and service agreements with carriers, and selects the most appropriate and cost-effective options.
- Shipment Oversight: Oversees the tracking of inbound and outbound shipments, proactively identifies and resolves potential delays or disruptions, and communicates status updates to relevant stakeholders.
- Cross-Functional Communication: Communicates and collaborates with various internal departments (e.g., Sales, Purchasing, Production) to coordinate shipping activities, resolve discrepancies, and ensure alignment of logistics operations with business objectives.
- Documentation and Compliance: Ensures accurate and timely preparation and distribution of required shipping documents to customers, adhering to all applicable regulations and company procedures.
- Logistics Coordination: Coordinates complex logistics activities, such as Houston area shuttles, optimizing routes and schedules to maximize efficiency and minimize costs.
- Financial Responsibilities: Performs intercompany billing processes and verifies invoices, exercising judgment within established approval limits and guidelines.
- Process Improvement: Analyzes logistics data, identifies trends, and recommends process improvements to enhance efficiency, reduce costs, and improve service levels. Authority and Responsibility:
- Decision-Making: Exercises independent judgment and discretion in carrier selection, rate negotiation, and resolution of shipping issues, with the authority to commit company resources within established guidelines.
- Impact on Operations: Responsible for decisions that directly impact the efficiency, cost-effectiveness, and timeliness of the company's logistics operations, influencing customer satisfaction and overall supply chain performance.
- Recommendations and Implementation: Develops and presents recommendations for process improvements, and has the authority to implement approved changes that optimize workflows and reduce costs.
- Cross-Functional Collaboration: Represents the logistics function in cross-functional meetings, with the responsibility to influence decisions and ensure alignment of logistics activities with broader business objectives.
Qualifications: Must have warehouse experience logistics national and international and computer literate in the following:
- UPS
- Fedex
- SAP (Must have some knowledge)
- Any other carrier
- Familiar with shipping terminology
QUALITY & RULES
- Logistics Coordinator must be familiar with and comply with internal VIKING rules, hereunder VMS, VIKING’s IT rules, internal instructions, and instructions in relevant work manuals.
- Logistics Coordinator must be familiar with and comply with relevant rules concerning VIKING products and services.
