Overview
We are seeking a dynamic and highly organized Executive Administrative Assistant to join our team. In this vital role, you will serve as the primary support for a busy plastic surgeon, ensuring smooth daily operations and efficient management of personal and administrative tasks. Your proactive approach, exceptional organizational skills, and attention to detail will help foster a productive work environment. This is a hands-on position requiring exceptional discretion, flexibility, and the ability to anticipate needs in a fast-paced environment. No two days are the same, and the ideal candidate enjoys variety and takes pride in ensuring both professional and personal responsibilities run smoothly.
Responsibilities
- Manage complex calendars and coordinate meetings, appointments, and travel arrangements with precision and attention to detail.
- Handle incoming calls professionally and courteously while maintaining excellent phone etiquette.
- Prepare, edit, and organize documents to support daily operations.
- Perform data entry and maintain accurate filing systems both electronically and physically, ensuring easy retrieval of information.
- Handle confidential information with the highest level of professionalism.
- Help ensure the office functions efficiently on a daily basis.
- Chauffeur to and from meetings, clinics, airports, and other appointments.
- Run errands including basic dog care, shopping, dry cleaning, post office visits, and other personal tasks.

Experience/Qualifications
- Applicants with medical assistant, medical billing, medical coding, medical scribing, executive/personal assisting or any other similar background will be prioritized.
- Applicants with future desire to enter nursing, NP, PA, or medical school can utilize work hours as clinical hours. Prerequisite professional school volunteer hours can be acquired as well.
- Experience with medical terminology preferred.
- Technical proficiency in computer literacy including data entry, filing systems, calendar management, and general office technology tools.
- Proficiency with Microsoft Office, Adobe, Google workspace, eClinicalWorks, 4D EMR, Epic, and PowerCharts.
- Bilingual abilities (Spanish or Tagalog) are highly desirable to facilitate effective communication with diverse clients and team members.
