We are seeking a TMS Treater/Technician to join our team and serve as both a patient advocate and treatment specialist for individuals receiving Transcranial Magnetic Stimulation (TMS) therapy.
Using breakthrough technology to treat Major Depressive Disorder (MDD), Obsessive Compulsive Disorder (OCD), and Anxious Depression, our practice is committed to delivering exceptional patient care. This role plays a vital part in helping patients understand their treatment options, navigate insurance requirements, receive safe and effective TMS treatments, and feel supported throughout every step of the process.
This is a highly patient-focused position that combines patient coordination, insurance management, treatment administration, and ongoing patient support. The ideal candidate is compassionate, organized, detail-oriented, and thrives in a fast-paced healthcare environment.
Position Summary
The NeuroStar TMS Treater/Technician serves as the primary point of contact for patients throughout their TMS treatment journey. This individual is responsible for patient consultations, education, insurance verification and authorization management, scheduling, treatment administration, patient monitoring, documentation, and coordination with the clinical team.
The successful candidate will provide exceptional patient care while ensuring safe, efficient, and compliant delivery of NeuroStar TMS therapy.
Key Responsibilities
Patient Education & Support
- Serve as the primary contact for prospective and active TMS patients.
- Educate patients and family members about TMS therapy, treatment expectations, and the overall treatment process.
- Provide compassionate support and guidance throughout evaluation, authorization, treatment, and follow-up.
- Build trust and rapport with patients while maintaining professionalism and confidentiality.
- Ensure patients feel informed, comfortable, and supported throughout the treatment process.
- Address patient questions, concerns, and barriers to care.
Insurance Coordination & Authorization Management
- Verify insurance benefits through NeuroStar's benefit investigation resources and/or directly with insurance providers.
- Submit, monitor, and manage prior authorization requests for TMS therapy.
- Collaborate with patients, providers, and insurance companies to obtain necessary documentation and approvals.
- Resolve insurance coverage issues and communicate financial responsibilities to patients.
- Assist with reimbursement-related inquiries and follow-up when needed.
TMS Treatment Delivery & Patient Monitoring
- Administer NeuroStar TMS treatments in accordance with physician orders and treatment protocols.
- Ensure patient safety, comfort, and proper positioning throughout treatment sessions.
- Perform appropriate coil positioning and adjustments during treatment.
- Monitor patients for treatment tolerance, adverse effects, or changes in condition.
- Identify potential medical or psychiatric concerns and promptly notify the treating provider according to office protocols.
- Follow emergency response procedures and basic life support protocols when appropriate.
- Maintain a calm, supportive environment that promotes positive patient experiences.
Documentation & Clinical Coordination
- Accurately document all treatment sessions, patient interactions, and clinical observations.
- Maintain psychiatric rating scales and outcome measurements as directed by providers.
- Generate reports and maintain treatment records in accordance with office policies and regulatory requirements.
- Communicate effectively with physicians and clinical staff regarding patient progress, concerns, and treatment updates.
- Collaborate with the healthcare team to ensure continuity of care and positive patient outcomes.
Scheduling, Administrative & Operational Support
- Coordinate consultations, treatment appointments, follow-up visits, and ongoing treatment schedules.
- Maintain accurate patient records and scheduling systems.
- Prioritize urgent patient needs and manage multiple responsibilities efficiently.
- Assist with general office administrative functions as needed.
- Support front-office operations and patient communications.
- Support marketing efforts of the practice by collaborating with other practices, providing feedback to referring clinicians, posting to our website and social media, and supporting google reviews.
Equipment & Treatment Suite Management
- Maintain treatment equipment and ensure proper operation of NeuroStar TMS systems.
- Monitor inventory levels and coordinate ordering of treatment supplies as needed.
- Ensure treatment rooms remain clean, organized, and prepared for patient care.
- Adhere to infection control, safety, and office protocols.
Qualifications:
Minimum Requirements
- High school diploma or GED.
- Two or more years of experience in a customer service, patient-facing, or healthcare-related role.
Preferred Qualifications
- Experience in a healthcare setting, including roles such as Nursing Assistant, Patient Care Technician, Medical Assistant, Medical Technician, Behavioral Health Technician, or Licensed Practical Nurse (LPN).
- Experience with insurance verification, prior authorizations, or healthcare reimbursement processes.
- Basic understanding of HIPAA regulations, patient confidentiality, and medical office procedures.
- Proficiency with Microsoft Office and electronic medical record or data management systems.
- Interest in mental health, psychiatry, and neurostimulation therapies.
