Position Overview:
The Scholarship Programs Assistant provides administrative and operational support to the Scholarship Programs team. This position assists with scholarship award processing, database and records management, communications, customer service, event coordination, reporting, and special projects. The position works collaboratively with team members and follows established policies, procedures, and program requirements to ensure accurate and timely completion of assigned responsibilities.
Principal Duties and Responsibilities:
Database & Systems Management
- Assist with updates and routine management of grants and programs software. Familiarity with Foundant’s Community Suite, SLM, and/or GLM is a plus.
- Monitor SLM/GLM updates and communicate relevant product changes, improvements, and helpful features to appropriate staff.
- Maintain data integrity by following processes that keep databases accurate, current, consistent, and useful.
Scholarship Program Administration
- Provide administrative support for scholarship programs, including award processing, documentation, and reporting.
- Process scholarship awards through online systems and prepare award packets.
- File, organize, and/or image scholarship-related documents as assigned.
- Provide general administrative support to the Scholarship Programs team.
- Provide backup support for scholarship payment processes and departmental invoices.
Customer Service & Communications
- Serve as the primary contact for routine scholarship-related email and phone inquiries and semester enrollment verification processes.
- Respond to scholarship inquiries in a timely, professional, and customer-focused manner, using established policies and procedures.
- Work with the Scholarship Programs team to support consistent and effective customer service practices.
- Refer complex or non-routine questions to the appropriate team member or Director as needed.
Events & Outreach
- Assist with event coordination, including, but not limited to, quarterly Scholarship Committee meetings and annual scholarship celebrations.
- Attend college fairs and other outreach activities, as needed, to promote OCCF scholarship opportunities.
- Provide periodic backup at the reception desk, as needed.
Projects & Research
- Assist OCCF with special projects, including but not limited to donor-related research projects and research projects pertaining to higher education and financial aid processes.

Qualifications & Skills:
- High School diploma or GED equivalency.
- Minimum 2 years of experience in customer service, client relations, student relations (K-12 and/or higher education), grants and/or scholarship relations and management, or philanthropy.
- Strong computer and typing skills including direct experience with data entry and reporting using an integrated database system and Microsoft Office.
- Excellent time management skills with a proven ability to meet deadlines.
- Excellent organizational skills and attention to detail.
- Ability to solve problems and multitask.
- Demonstrated predisposition to the principles of good customer service, both internally and externally.
- Exemplify exceptional communication and interpersonal skills.
- Ethical standards above reproach.
- Positive approach to team-based work and commitment to organizational objectives.
Working Conditions & Physical Demands:
- Prolonged periods of sitting at a desk.
- The ability to lift objects of 25 lbs.
- Extended periods of working with a computer, requiring the ability to focus on tasks and navigate software interfaces.
- Requires fine motor skills, including using touch, pinch, or prick, primarily with fingers. This involves precision and dexterity for tasks such as typing, clicking and manipulating small objects.
- Strong visual acuity is essential for reading information on a computer screen and discerning details.
- The work environment is an office setting with minimal noise.
- Minimal travel in the metro and surrounding area.
