Job Summary
We are seeking a dynamic and detail-oriented Government Contracts Specialist to join our team and drive excellence in managing government and commercial contracts. In this role, you will serve as the primary point of contact for government and commercial customers regarding contract administration, order status, delivery schedules, contract requirements, and customer inquiries. This position supports the successful execution of government contracts by coordinating with internal departments, preparing RFQs, monitoring customer portals, maintaining contract records, and ensuring timely communication with customers.
The ideal candidate possesses strong customer service skills, attention to detail, and an understanding of government contracting requirements, including compliance with customer specifications, contractual obligations, and delivery commitments.
Essential Duties & Responsibilities
Customer and Contract Support
- Serve as the primary customer contact for government and commercial accounts. Customers include both OEM and aftermarket repairs.
- Respond to customer inquiries regarding orders, schedules, pricing, contract requirements, and delivery status.
- Build and maintain positive customer relationships through timely and professional communication.
- Coordinate customer requests and issues with Sales, Operations, Engineering, Quality, and Supply Chain teams.
Government Contract Administration
- Review and monitor government and customer portals for contract actions, modifications, requests, and communications.
- Process contract modifications, purchase order changes, and customer requirements.
- Maintain accurate contract files, customer records, and correspondence.
- Assist with contract compliance activities and customer reporting requirements.
- Support contract closeout activities as required.
Order Management
- Enter, review, and maintain customer orders in the ERP system (Infor Visual).
- Verify customer requirements, pricing, delivery schedules, and contractual terms.
- Track order status and proactively communicate delays or schedule changes.
- Coordinate shipment priorities and customer delivery expectations.
Portal Management and Reporting
- Monitor customer and government portals for updates, requests for information, and required actions.
- Maintain logs of portal activity and customer communications.
- Prepare reports identifying:
- Open customer actions
- Contract deliverables
- Upcoming deadlines
- Customer concerns and resolution status
Cross-Functional Coordination
- Work closely with Production Planning, Quality, Engineering, and Supply Chain teams to ensure customer requirements are met.
- Escalate potential contractual, delivery, quality, or compliance issues to management.
- Participate in customer meetings and internal program reviews as needed.
Qualifications
Education
- Bachelor's degree in Business Administration, Supply Chain, Contracts Administration, or related field preferred.
- Equivalent combination of education and experience may be considered.
Experience
- 3+ years of customer service, contract administration, order management, or government contracting experience preferred.
- Experience supporting government customers, defense contractors, or manufacturing organizations preferred.
- Experience with ERP systems and customer portals preferred.
Knowledge, Skills, and Abilities

- Understanding of customer service principles and contract administration practices.
- Strong verbal and written communication skills.

- Ability to manage multiple priorities and deadlines.
- Strong attention to detail and accuracy.
- Proficiency with Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Ability to work effectively with cross-functional teams.
- Experience with ERP systems such as Infor Visual, Epicor, SAP, Oracle, or similar systems preferred.

Pay: $65,000.00 - $75,000.00 per year
