Job Title: Executive Symposium Coordinator
Location: Hybrid (Remote + On-Site Event Support)
Employment Type: Part-Time/Contract
Are you a highly organized, hands-on individual with a passion for curating unforgettable events? We are seeking a resourceful and detail-oriented Executive Symposium Coordinator to join our team and help execute high-impact, high-touch executive symposiums. This role is ideal for someone who is just as comfortable creating logistics spreadsheets as they are driving a U-Haul or arranging charcuterie boards.
Responsibilities:
- Coordinate all event logistics including catering, event rentals, DJs, microphones, cocktail tables, and other supplies.
- Communicate with vendors to gather information and ensure timely delivery of services and equipment.
- Reach out to local breweries, wineries, and distilleries for potential alcohol donations that align with our sustainability goals.
- Reach out to local restaurants and caterers to see if they would be interested in being in-kind sponsors of our events
- Conduct in-person venue visits to evaluate event sites and ensure suitability.
- Manage event inventory housed in a local storage unit; track, organize, and transport materials as needed.
- Drive/ride in a U-Haul to transport event items to and from venues.
- Set up event elements, including signage, decor, and charcuterie stations.
- Act as a welcoming host during the event, assisting attendees and ensuring a positive guest experience.
- Break down and clean up post-event; return all materials to storage and ensure the venue is restored to its original state.
Requirements:
- Proven experience in event planning or coordination; corporate or executive-level event experience preferred.
- Valid driver’s license and ability to confidently drive a cargo van or U-Haul.
- Strong organizational skills and attention to detail.
- Comfort working both behind the scenes and front-of-house.
- Ability to lift and move event supplies and equipment.
- Availability for remote planning work, in-person meetings, and flexible hours surrounding event days.
