As our firm continues to expand, we are seeking an exceptional Paralegal / Office Manager who is organized, proactive, detail-oriented, and thrives in a fast-paced environment.

Position Overview
The ideal candidate will combine strong legal administrative experience with outstanding organizational and office management skills. You will help oversee daily office operations while assisting with estate planning documentation, client coordination, and administrative workflows.
This position requires someone who takes ownership, solves problems independently, learns quickly, and enjoys wearing multiple hats.
Responsibilities
- Prepare and organize estate planning documents, including trusts, wills, powers of attorney, healthcare directives, deeds, LLC documents, and related legal paperwork.
- Coordinate client document collection and ensure files remain accurate and complete.
- Assist with deed preparation, recording, and follow-up.
- Maintain confidential client files and legal records.
- Track legal and administrative deadlines to ensure timely completion of work.
- Coordinate with attorneys, financial advisors, CPAs, title companies, and county offices.
- Oversee daily office operations and administrative workflow.
- Assist management with special projects and operational improvements.
- Create and maintain organized systems and procedures.
- Answer client questions professionally and provide exceptional customer service.
- Manage calendars, scheduling, and internal task assignments.
- Help train and support administrative staff as the firm continues to grow.
- Assist with compliance, reporting, and document management.
- Continuously identify ways to improve efficiency and client experience.
Qualifications
- Previous paralegal experience preferred (estate planning or real estate experience is a significant plus).
- Office management or operations experience preferred.
- Exceptional organizational skills.
- Strong written and verbal communication.
- Ability to prioritize multiple projects simultaneously.
- Excellent attention to detail.
- Professional appearance and demeanor.
- Strong computer proficiency, including Microsoft Office and Adobe Acrobat.
- Ability to learn new software quickly.
- Comfortable working with legal documents and financial information.
- High level of integrity and confidentiality.
