We are seeking a highly organized and proactive Administrative Assistant to support senior leadership within a large, dynamic organization. This role serves as a trusted partner, helping leaders stay focused on strategic priorities while ensuring day-to-day operations run smoothly. The successful candidate will thrive in a collaborative environment, enjoy working with a variety of stakeholders, and bring strong organizational skills, sound judgment, and a service-oriented mindset to everything they do.
What You'll Do:-
Manage calendars, schedules, and meeting coordination for leaders and team members.

Coordinate meeting, event, and travel logistics.
-
Monitor key dates, deadlines, and departmental activities.
-
Prepare reports, meeting minutes, correspondence, and other business documentation.
-
Process invoices, expense reports, and other administrative transactions.
-
Maintain records, filing systems, SharePoint sites, and department resources.
-
Handle incoming calls, emails, and inquiries, escalating issues as appropriate.

Support onboarding activities and training on collaboration and productivity tools.
-
Manage office supplies, equipment, and general administrative operations.
-
Assist with special projects and other duties as assigned.
What You'll Need:-
High school diploma or equivalent.

1–3 years of administrative, office support, or related experience.

Strong organizational skills with the ability to manage multiple priorities and deadlines.

Ability to work independently and exercise sound judgment.
-
Strong verbal and written communication skills with a customer-focused approach.

Proficiency with Microsoft Office applications, including Outlook, Word, OneNote, Excel, and SharePoint.

Basic problem-solving and decision-making skills.
-
Proven ability to handle confidential and sensitive information with discretion.

Experience supporting leaders within a fast-paced, professional environment.

Experience coordinating meetings, events, and travel arrangements.

Experience managing SharePoint sites, intranet content, or department resources.

Strong proficiency with collaboration tools such as Microsoft Teams, Zoom, and MURAL.

Experience preparing reports, presentations, or departmental communications.
Candidates that live within a commutable distance from our Tempe, AZ and St. Louis, MO home office locations are expected to work in the office four days per week.
