Responsibilities
- Greet visitors warmly and professionally, directing them appropriately and maintaining a friendly atmosphere.
- Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette.
- Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness.
- Maintain organized files, data entry records, and ensure all documentation is correctly filed and easily accessible.
- Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings.
- Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook), Athena when needed.
- Supporting customer service efforts to enhance client satisfaction.
Qualifications
- Proven office experience or administrative background with strong organizational skills.
- Excellent computer literacy with proficiency in Microsoft Office Suite, Google Workspace, data entry, and Athena is a plus.
- Strong communication skills with a focus on professional phone etiquette; bilingual abilities are a plus.
- Demonstrated ability to manage multiple tasks efficiently while maintaining attention to detail.
- Previous experience in customer support or front desk roles in medical or dental offices is desirable.
- Familiarity with office management procedures including filing systems, calendar management, and time management techniques.
