Responsibilities
- Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Coordinate calendar management, scheduling appointments, meetings, and events with precision and attention to detail
- Perform data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace
- Maintain organized filing systems—both digital and physical—to ensure easy retrieval of documents and records
- Provide exceptional customer service by addressing inquiries promptly and supporting client needs effectively
- Assist with bookkeeping duties using QuickBooks or similar accounting software to track expenses and manage invoices
- Support office management tasks such as ordering supplies, proofreading documents, and ensuring office equipment functions properly
Experience
- Proven clerical experience in an office environment with strong organizational skills
- Familiarity with office management procedures, including filing systems and calendar coordination
- Demonstrated proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and productivity tools
- Experience handling multi-line phone systems with excellent phone etiquette and customer support skills
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members
- Prior experience as a medical or dental receptionist or personal assistant is advantageous but not required
- Strong typing skills with high accuracy for data entry tasks; ability to proofread documents thoroughly
- Knowledge of bookkeeping practices using QuickBooks or similar software is desirable
