Optima Energy, Inc. is a Southern California energy-efficiency contractor specializing in commercial and multifamily lighting, HVAC, heat pump water heating, water conservation, building electrification, solar lighting, and related installation and maintenance services.
We are seeking an organized, dependable, and hands-on Warehouse Manager to oversee our warehouse, equipment, tools, materials, vehicles, and project staging operations. This individual will play an important role in ensuring our field teams have the correct materials, equipment, and information needed to complete projects safely, efficiently, and on schedule.
Position Summary
The Warehouse Manager is responsible for maintaining an organized and accurate warehouse while coordinating the receipt, storage, preparation, distribution, and return of project materials.
This position will manage inventory levels, prepare materials for upcoming jobs, track company tools and equipment, oversee warehouse staff, support the company vehicle fleet, and communicate closely with project managers, foremen, technicians, purchasing personnel, and office staff.
The ideal candidate is proactive, detail-oriented, comfortable working in a fast-paced construction environment, and willing to perform both management and hands-on warehouse duties.
Primary ResponsibilitiesWarehouse Operations
Maintain a clean, safe, organized, and professional warehouse at all times. Establish designated storage areas for lighting products, electrical materials, plumbing fixtures, HVAC equipment, heat pump water heater components, tools, safety equipment, ladders, project supplies, and returned materials.
Create and maintain an effective system for labeling shelves, bins, pallets, equipment, and project staging areas. Ensure aisles, exits, electrical panels, fire extinguishers, and emergency equipment remain accessible.
Regularly inspect the warehouse for safety concerns, damaged materials, improperly stored equipment, and items that need to be repaired, returned, recycled, or disposed of.
Inventory Management
Receive, count, inspect, and document all incoming materials, equipment, tools, and deliveries. Compare deliveries against purchase orders, packing slips, invoices, and project material lists.
Report shortages, overages, damaged products, incorrect shipments, and backordered items to the appropriate office or project personnel immediately.
Maintain accurate inventory records for commonly used materials, including lamps, fixtures, drivers, controls, sensors, wire, connectors, mounting hardware, plumbing fixtures, HVAC components, safety supplies, and installation materials.
Complete routine physical inventory counts and identify discrepancies between actual quantities and company records.
Monitor minimum stock levels and communicate when frequently used materials or supplies need to be reordered. Help prevent unnecessary duplicate purchases, lost materials, and project delays caused by missing inventory.
Project Material Staging
Review upcoming project schedules and coordinate with project managers and foremen to determine material, equipment, vehicle, and tool requirements.
Pull, count, label, and stage materials by project, job number, customer, property, building, or installation area. Verify that staged materials match the approved scope of work and project material list before they leave the warehouse.
Prepare project-specific loading sheets and ensure field teams acknowledge receipt of assigned materials, tools, and equipment.
Separate materials by project to prevent inventory from being mixed, misplaced, or installed at the wrong location.
Track unused materials returning from job sites and determine whether they should be returned to inventory, held for project completion, returned to the supplier, recycled, or disposed of.
Tool and Equipment Control
Maintain an accurate checkout and return system for company tools, ladders, test equipment, safety equipment, tablets, specialty tools, and other assigned assets.
Inspect returned tools and equipment for damage, missing components, cleanliness, and proper operating condition.
Coordinate repairs, maintenance, calibration, or replacement of damaged and unsafe equipment. Remove unsafe tools from service immediately.
Maintain records showing which employee, vehicle, or project has possession of each company-owned tool or piece of equipment.
Ensure field employees arrive at projects with the tools, equipment, personal protective equipment, and materials required for their assigned work.
Vehicle and Fleet Support
Help maintain the cleanliness, organization, readiness, and professional appearance of company vehicles.
Conduct routine vehicle inspections and verify that vehicles contain required registration, insurance information, safety equipment, first-aid supplies, and assigned tools.
Monitor vehicle fuel levels and arrange for vehicles with less than half a tank to be fueled before project dispatch.
Track vehicle maintenance needs, mileage, tire conditions, warning lights, service appointments, registration renewals, and reported damage.
Document vehicle assignments and ensure employees follow company procedures for vehicle use, cleanliness, fuel cards, mileage, accidents, and reporting mechanical concerns.
Immediately report unsafe vehicle conditions to management and remove vehicles from service when necessary.
Shipping, Receiving, and Supplier Returns
Coordinate delivery appointments and ensure materials are safely unloaded, inspected, and stored.
Prepare materials for shipment or transfer to project locations. Verify quantities and delivery addresses before materials leave the warehouse.
Coordinate approved product returns with suppliers and maintain records of return authorizations, restocking fees, credits, replacements, and warranty claims.
Separate special-order, damaged, defective, discontinued, customer-owned, and non-returnable materials to prevent accidental use or disposal.
Follow up on supplier credits and replacement materials when requested by management.
Team Supervision
Provide daily direction and oversight to warehouse employees, drivers, helpers, and other personnel assigned to warehouse duties.
Assign tasks, establish priorities, monitor productivity, and verify that work is completed accurately and on time.
Train employees on warehouse procedures, material handling, inventory controls, tool accountability, vehicle inspections, project staging, and workplace safety.
Maintain a professional work environment and address performance, attendance, communication, and safety concerns promptly with management.
Ensure employees follow instructions, communicate respectfully, arrive prepared, and properly document completed work.
Documentation and Communication
Maintain accurate records for inventory, deliveries, material transfers, project staging, tool assignments, vehicle inspections, supplier returns, damaged products, and disposal of materials.
Communicate daily with project managers, operations personnel, purchasing staff, foremen, technicians, and administrative staff regarding material availability and project needs.
Provide advance notice of shortages, backorders, delivery delays, vehicle problems, missing tools, damaged equipment, and other issues that could affect project schedules.
Use company spreadsheets, inventory systems, email, project trackers, and other technology to maintain organized and accessible records.
Submit receipts, packing slips, delivery documents, vehicle records, and material paperwork to the office in a timely manner.
Qualifications
A minimum of three years of warehouse, inventory, construction supply, logistics, facilities, or field operations experience is preferred.
Previous supervisory or warehouse management experience is strongly preferred.
Experience working with electrical, lighting, HVAC, plumbing, construction, energy-efficiency, or building maintenance materials is highly desirable.
The candidate must demonstrate strong organizational skills, attention to detail, accountability, and the ability to manage multiple priorities.
Basic computer skills are required, including experience with email, spreadsheets, digital files, inventory records, and project tracking systems.
The candidate must be able to read purchase orders, packing slips, equipment labels, material lists, project schedules, and basic scopes of work.
A valid driver’s license and acceptable driving record are required for operating company vehicles.
Forklift or material-handling equipment experience is preferred. The selected candidate may be required to complete company-approved equipment and safety training.
English proficiency is required. Bilingual English and Spanish communication skills are preferred but not required.
Physical Requirements
The Warehouse Manager must be able to regularly stand, walk, bend, reach, climb, push, pull, and perform hands-on warehouse work throughout the workday.
The position requires the ability to safely lift and carry materials weighing up to 50 pounds independently. Heavier items must be handled with assistance or approved lifting equipment.
The employee must be able to work in warehouse and outdoor conditions that may include heat, cold, dust, noise, vehicle traffic, and active loading areas.
