Therapy Adventures is a family-owned pediatric speech and occupational therapy practice in Dripping Springs, Texas. We are seeking a friendly, dependable, and highly organized receptionist to serve as the first point of contact for the children and families we support. This role is essential to creating a welcoming office experience and keeping daily clinic operations running smoothly.
The Front Office/Administrative Assistant is responsible for front-desk coverage, family communication, scheduling, patient intake, check-in, and general office organization. The ideal candidate is warm and professional, communicates clearly, handles competing priorities calmly, and enjoys working in a busy, family-centered environment.
We are seeking one Full-Time Employee or two Part-Time Employees. Full-Time Employees are eligible for benefits, including PTO, paid holidays, and health, vision and dental insurance.
Medical office experience is preferred, but applicants with strong experience in customer service, reception, scheduling, or a similar administrative role are encouraged to apply
Responsibilities
- Greet children, caregivers, visitors, and team members in a warm and professional manner
- Answer calls and office messages, respond to general inquiries, and direct clinical, billing, or insurance questions to the appropriate team member
- Schedule, reschedule, and cancel appointments accurately in Jane App, including communicating therapist absences and other scheduling changes
- Manage appointment reminders and follow up with families as needed
- Check patients in, collect payments, provide receipts, and follow established payment procedures
- Support new patient intake by explaining next steps, processing referrals, sending and reviewing paperwork, and following up on missing information
- Maintain the clinic waitlist and communicate professionally with prospective and current families by phone, email, text, and in person
- Maintain accurate patient demographics, contact information, schedules, and medical records in accordance with HIPAA and clinic privacy procedures
- Complete routine clerical tasks, including filing, faxing, scanning, and managing electronic documents and records
- Support therapists and administrative team members with routine office and medical-records needs
- Keep the reception area organized, welcoming, and stocked with necessary materials
- Follow clinic policies and escalate questions or concerns to the appropriate team member
Qualifications
- Prior experience in a medical office or clinic setting is highly preferred; familiarity with pediatric therapy services is a plus
- Strong computer skills with proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel) and EMR/EHR systems
- Excellent customer service skills with the ability to communicate effectively via phone and in person; bilingual abilities are advantageous
- This job is not responsible for billing claims, but a basic understanding of medical terminology, CPT/ICD coding, HIPAA regulations, and health insurance policies is helpful
- Detail-oriented with strong organizational skills; capable of managing multiple tasks efficiently in a fast-paced environment
- Clerical experience including filing, data entry (10 key typing), and electronic health record management is essential
- Ability to maintain confidentiality while providing compassionate support to pediatric patients and their families
Pay: $15.00 - $25.00 per hour
