Receptionist Full Time - Weekends Required
Major Duties and Responsibilities/Administrative Functions
Is able to work independently and refers to reception handbook when questions arise.
Promptly enters room changes, discharges into computer system weekdays and weekends.
Notifies departments upon the arrival of admissions
Follows admission/readmission/discharge checklists promptly and upon completion gives completed checklist to Billing department. (mailbox in the partition area in office)
Sends in-house emails promptly regarding any resident activity such as admission, discharge, death, room change.
Monitors incoming emails in timely manner, checking frequently for updates.
Answer telephone and greet visitors/staff/residents/sales professionals in a polite and professional manner; determine nature of call or visit and direct to appropriate individual or department.
Copying/Faxing/Emailing as requested, monitoring incoming faxes, receiving and sorting mail, making signs as requested, copying as requested, operating all machinery and knowledgeable of changing toners, fixing jams, etc.
Dress in a professional manner creating a business image as a representative of the facility and act accordingly.
Makes signs as requested for new admissions and/or any other signs requested.
Follow all established safety procedures and precautions when operating office equipment.
Report equipment malfunctions or breakdowns to Administrative Assistant as soon as possible – either in person or via email after hours.
Report all unsafe/hazardous conditions to your supervisor immediately.
Distribute office supplies when requested, to staff as required.
Assure that work/assignment areas are kept in a neat, clean manner and machines are covered & turned off when not in use.
Ensure adequate amount of paper is in the fax machine, copier and printer.
Follow established closing procedure before coming off duty, and notifying Nursing Supervisor that you are locking up, etc.
Maintain CONFIDENTIALITY of all pertinent resident care information to assure resident rights are protected.
