Midwest Clinical Research, LLC is seeking an organized, personable, and motivated Clinical Research Recruitment & Operations Specialist to join our growing research team. This position plays a vital role in the success of our clinical trials by overseeing participant recruitment, managing the research scheduling pipeline, and coordinating the daily operational flow of our research program.
The Clinical Research Recruitment & Operations Specialist serves as the central point of communication between prospective participants, Clinical Research Coordinators, investigators, sponsors, Clinical Research Associates (CRAs), and research staff. This individual is responsible for driving enrollment efforts, coordinating study schedules, monitoring recruitment progress, and helping ensure studies remain on track to meet enrollment goals and sponsor timelines.
The ideal candidate has prior clinical research experience, exceptional organizational skills, and enjoys building relationships with participants while collaborating with a multidisciplinary research team. They are proactive, detail-oriented, and thrive in a fast-paced environment where adaptability, communication, and problem-solving are essential.

Primary Responsibilities
- Recruit and screen potential participants for active clinical research studies.
- Manage the site's recruitment pipeline by tracking prospective participants from initial inquiry through enrollment while ensuring timely follow-up and an exceptional participant experience.
- Respond promptly to patient inquiries from phone calls, emails, website submissions, physician referrals, social media, and advertising campaigns.
- Explain study opportunities, answer participant questions, and determine preliminary eligibility.
- Schedule screening, baseline, follow-up, and study visits for multiple clinical trials.
- Coordinate and maintain calendars for Clinical Research Coordinators, investigators, and research staff to maximize efficiency and optimize patient flow.
- Balance competing scheduling priorities while maintaining a positive participant experience.
- Communicate appointment reminders and follow up with participants to improve retention and reduce missed visits.
- Maintain accurate recruitment, enrollment, and scheduling records within study databases and tracking systems.
- Monitor recruitment metrics and assist with developing strategies to meet enrollment goals and sponsor timelines.
- Collaborate closely with Clinical Research Coordinators to ensure seamless communication and successful study execution.
- Serve as the primary liaison with Clinical Research Associates (CRAs), study sponsors, and recruitment teams regarding participant recruitment efforts. Provide updates on enrollment progress, recruitment initiatives, site performance, and anticipated recruitment challenges during monitoring visits and sponsor meetings.
- Assist with community outreach, physician engagement, and marketing initiatives to increase awareness of clinical research opportunities.
- Maintain compliance with HIPAA, Good Clinical Practice (GCP), and study-specific protocols.
Qualifications
Required
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Outstanding customer service and interpersonal abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with Microsoft Office and electronic scheduling systems.
Preferred
- One or more years of clinical research experience.
- Experience recruiting participants for clinical trials.
- Familiarity with Good Clinical Practice (GCP) guidelines.
- Experience using electronic medical records (EMR/EHR) and/or Clinical Trial Management Systems (CTMS).
- Experience with patient outreach, recruitment advertising, or participant engagement.
Employment Type
This position is available as either part-time or full-time, depending on the experience, qualifications, and availability of the selected candidate.
