The Project Coordinator responsible for coordinating service operations from customer request through job completion. This role serves as the primary point of contact between customers, field technicians, supervisors, and office staff, ensuring work is scheduled efficiently, communicated effectively, completed accurately, and billed on time.

What You'll Do

Coordinate daily schedules and dispatch technicians based on workload, location, priority, and availability.

Monitor technician progress and adjust schedules as needed to maximize efficiency.

Create and manage work orders, service requests, and customer records in ServiceTitan.

Serve as the primary communication link between customers, technicians, and internal teams.

Respond to customer inquiries regarding scheduling, billing, service contracts, and work status.

Process weekly billing, verify technician time, and maintain accurate job documentation.

Manage recurring maintenance agreements, contract renewals, equipment registrations, and manufacturer portals.

Track open work orders, generate operational reports, and support timely job completion.

Coordinate materials, inventory updates, and administrative support for service operations.

Identify opportunities to improve scheduling, communication, and operational efficiency.
Qualifications
Required
-
2+ years of experience in project coordination, billing, scheduling, dispatch, or service operations within construction, electrical, mechanical, HVAC, generator, or a similar trade.

Excellent organizational, communication, and customer service skills.

Ability to manage multiple priorities in a fast-paced environment.

Strong attention to detail and problem-solving skills.

Proficiency with Microsoft Office; experience with ServiceTitan or similar field service software is preferred.

High school diploma or GED.

Experience supporting field service or construction operations.

Associate's or bachelor's degree in Business Administration, Construction Management, or a related field.
Physical Requirements

Ability to remain in a stationary position (e.g., seated at a desk) for extended periods of time.

Frequent use of hands and fingers for typing, handling documents, and operating office equipment (e.g., computer, phone, copier, fax).

Ability to move about the office to access files, supplies, office equipment, and assist visitors.

Clear vision and hearing required for reading documents, computer work, and communicating effectively in person and via phone.
