Job Overview
The Administrative Assistant performs a variety of administrative and clerical functions for the Medical Staff; acts as a resource to staff and the general public regarding assigned areas of responsibility. This position is responsible for the accurate and timely completion of assigned administrative support tasks; this position demonstrates conduct which serves to positively and efficiently achieve organizational goals, resolve conflict and promote positive interactions with colleagues. This position functions independently in carrying out assigned processes, workflow and operations while maintaining confidentiality of information.
Key Responsibilities:

Provide front-line administrative support to department leadership, physicians, and advanced practice providers (APPs).

Manage calendars, schedule meetings, coordinate conference rooms, and send invitations.

Schedule committee meetings (e.g., Medical Executive Committee, Credentials Committee, department meetings).

Prepare agendas, meeting packets, and distribute materials in advance.

Record minutes and track follow-up action items.

Maintain committee records in accordance with regulatory and accreditation standards.

Process invoices, expense reports, and purchase requests.

Coordinate travel arrangements and reimbursements for providers or leadership.

Serve as liaison between departments (HR, IT, credentialing office, nursing units, administration).

Assist with special projects, audits, surveys, or accreditation site visit preparation.

Support event coordination such as provider meetings, recognition events, or training.
Required Qualifications:

High School diploma

3 - 5 years administrative experience
-
Intermediate level of experience with MS Office
Preferred Qualifications:

Healthcare administrative experience

Strong organization and attention to detail

Knowledge of hospital systems (EMR, credentialing software)

Communication and customer service skills

Ability to manage multiple priorities in a fast-paced environment
The pay range for this position is $26.25 - $48.74. Compensation is determined based on years of relevant experience and departmental equity.
