We are seeking a dynamic and highly organized Construction Office Administrator to join our team and support the smooth operation of our construction projects. Duties
- Manage daily office operations, including filing, data entry, and maintaining organized records of project documentation
- Coordinate schedules for project meetings, site visits, and team appointments using calendar management tools
- Oversee vendor management activities, including communication, procurement, and invoice processing
- Handle human resources functions such as onboarding new staff, managing payroll using QuickBooks or similar financial software, and supporting training & development initiatives
- Assist with budgeting and bookkeeping tasks to track expenses, prepare financial reports, and ensure accurate record-keeping
- Support event planning for company functions or client meetings to ensure seamless execution
- Operate multi-line phone systems with professional phone etiquette while providing excellent customer service to clients and visitors
- Maintain confidentiality when handling sensitive information related to projects, personnel, or financial data
- Utilize Microsoft Office Suite (Word, Excel, Outlook) to prepare reports, spreadsheets, and correspondence efficiently
- Provide front desk support by greeting visitors, managing incoming calls, and directing inquiries appropriately
Qualifications
- Proven experience in office administration within construction or related industries; supervisory experience is a plus
- Strong proficiency with accounting software such as QuickBooks and other financial tools
- Excellent organizational skills with the ability to manage multiple priorities simultaneously
- Demonstrated experience in vendor management, scheduling, and project coordination
- Knowledge of bookkeeping, budgeting, payroll processing, and basic accounting principles
- Familiarity with human resources processes including onboarding and training support
- Proficiency in Microsoft Office applications and spreadsheet management for data analysis and reporting
- Exceptional communication skills—both verbal and written—with a professional phone manner
- Ability to handle confidential information discreetly and responsibly
- Experience in event planning or medical office management is advantageous but not required
- Strong team management skills combined with clerical experience in an office environment
