Position Summary
The Executive Assistant serves as the primary administrative partner to the Executive Director, providing high-level executive support, coordinating organizational priorities, and assisting with donor stewardship, Board administration, special events, and key organizational projects.
This position requires exceptional organizational and project management skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced nonprofit environment. The successful candidate enjoys working behind the scenes, takes initiative, and is committed to helping the Executive Director and leadership team succeed.
Responsibilities
Executive Support
- Manage the Executive Director's calendar, meetings, and scheduling priorities.
- Coordinate meetings, prepare agendas, and track follow-up items.
- Prepare correspondence, presentations, reports, and executive communications.
- Anticipate administrative needs and proactively solve problems.
- Maintain confidential files and sensitive information with discretion.
Project Management
- Coordinate organizational projects from planning through completion.
- Track deadlines, deliverables, and action items across multiple initiatives.
- Assist the Executive Director in managing organizational priorities.
- Prepare project updates and status reports.
Board & Development Support
- Prepare Board meeting materials and maintain governance records.
- Enter donor gifts into the donor management system.
- Prepare donor acknowledgment letters.
- Maintain donor and sponsorship records.
- Assist with fundraising and stewardship activities.
Special Events
- Coordinate event logistics and registrations.
- Assist with sponsorship fulfillment.
- Prepare event materials, name badges, seating lists, and schedules.
- Support fundraising events and community engagement activities.
Administrative Operations
- Maintain electronic filing systems.
- Coordinate vendor correspondence and administrative records.
- Support office operations and other duties as assigned.
- Coordinate meetings, prepare agendas, and track follow-up items.

Experience
- Required
- Associate's degree required; Bachelor's degree preferred.
Preferred
- Experience supporting executive leadership.
- Experience in a nonprofit, ministry, healthcare, education, or mission-driven organization.
- Experience with donor databases or CRM systems.
- Working knowledge of social media platforms and the ability to assist with occasional content updates or event promotion.
- Three to five years of executive administrative support experience.
- Strong project management and organizational skills.
- Advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Strong working knowledge of Google Workspace (Gmail, Calendar, Docs, Sheets, Drive).
- Experience coordinating multiple projects simultaneously.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Exceptional attention to detail.
Preferred
- Experience supporting executive leadership.
- Experience in a nonprofit, ministry, healthcare, education, or mission-driven organization.
- Experience with donor databases or CRM systems.
- Working knowledge of social media platforms and the ability to assist with occasional content updates or event promotion.

Pay: $25.00 per hour
