Lightpath Electric is seeking an experienced, highly organized Administrative Operations Assistant to work directly with and support our Office Manager.
This is not a receptionist or entry-level clerical position. We are looking for a dependable, capable individual who takes ownership of their responsibilities, follows through without constant supervision, and can help keep a busy electrical contracting office organized and running efficiently.
Responsibilities
- Assist the Office Manager with day-to-day administrative operations
- Maintain employee, vendor, customer and company records
- Assist with employee onboarding and personnel documentation
- Process and organize invoices, purchase orders, receipts and other accounting documentation
- Assist with payroll and timecard preparation as needed
- Maintain vehicle, insurance, licensing and other company records
- Prepare customer and vendor forms and documentation
- Maintain electronic and physical filing systems
- Track outstanding paperwork and follow up until items are completed
- Assist management with spreadsheets, reports and special projects
- Communicate professionally with employees, customers and vendors
- Provide backup administrative support throughout the office
- Identify administrative issues and take initiative to resolve them
What We’re Looking For
- 3+ years of administrative or office-management experience preferred
- Construction, electrical, HVAC, plumbing or service-company experience is a strong plus
- Strong Microsoft Excel, Word and Outlook skills
- Excellent organizational and follow-through skills
- High attention to detail
- Strong written and verbal communication
- Ability to prioritize multiple responsibilities in a fast-paced environment
- Dependable and consistent attendance
- Comfortable working independently
- Someone who looks for what needs to be done rather than waiting to be told
The Right Person
The ideal candidate will become the Office Manager’s right hand and be capable of taking increasing responsibility as they learn our company.
We are particularly interested in someone who wants a long-term position and has the ability to grow into greater office-management responsibility.
Compensation: $24–$28 per hour, depending on experience.
