Position Overview
The Office Manager is responsible for the day-to-day operation of the office, firm-wide administrative support, and coordination of office, safety, onboarding, and internal events. This role partners closely with the Executive Team, HR, Property Management, and external vendors to ensure a well-run, organized, and welcoming workplace. The position requires strong organizational skills, attention to detail, discretion, and a proactive, service-oriented mindset
Key Responsibilities
Office Operations & Compliance
- Maintain full knowledge of and administer key compliance policies, including the Business Continuity Plan (BCP), Injury and Illness Prevention Program (IIPP), and Workplace Violence Prevention Plan (WVPP).
- Monitor regulatory changes in workplace safety; recommend and implement updates to internal policies, documenting those changes; and partner with the HR Manager to communicate updates company-wide.
- Serve as Floor Warden and lead workplace safety and emergency preparedness initiatives, including participation in annual property management safety inspections.
- Partner with the HR Manager to support and track completion of required compliance and safety trainings, such as emergency notification systems, building security protocols, and cybersecurity awareness.
- Oversee vendor management (with executive oversight) - including new-vendor onboarding, contract maintenance and renewal (with price and service comparisons against alternative vendors), and invoice review and approval.
- Administer the corporate credit card program (in partnership with the CFO).
- Coordinate employee onboarding and offboarding processes in partnership with HR and IT.
- Provide high-level administrative support to partners and executives, including coordination of priorities, deadlines, deliverables, and meeting calendars.
- Participate in recurring HR/Office Operations meetings and help maintain the annual operations and compliance calendar.
- Provide training, delegation, and oversight to the administrative team to ensure consistent execution of office management standards.
Employee Engagement
- Plan and lead initiatives that strengthen company culture, morale, and connectivity across the firm.
- Partner with the HR Manager to recognize employee milestones, such as work anniversaries.
- Manage corporate programs and professional memberships/affiliations (e.g., sports partnerships, industry organizations) that support employee engagement and community involvement.
- Serve as a point of contact for staff on office-related needs, fostering a welcoming and responsive workplace culture.
Event Planning
- Plan and execute company-wide events, including quarterly all-employee meetings, annual volunteer day, and holiday party.
- Coordinate logistics, budgets, and vendors for internal meetings and firm events.
- Manage event timelines, materials, and communications to ensure smooth execution from planning through follow-up.
Records Management
- Maintain accurate, organized, and accessible company records and filing systems in accordance with firm standards, including version control.
- Manage and track corporate contracts, subscriptions, and third-party agreements, monitoring renewal and expiration dates.
- Oversee maintenance of the company website and other digital repositories to ensure information remains current.
- Establish protocols for the retention, protection, and secure disposal of company records in compliance with applicable standards
Skills & Qualifications
- Minimum 5 years of progressive experience with demonstrated proficiency in office management, in particular safety related programs (IIPP, WVPP, BCP)
- Strong organizational and time-management skills with exceptional attention to detail.
- Ability to manage multiple priorities and workstreams, adapting to shifting needs independently.
- Professional, service-oriented demeanor with strong interpersonal skills.
- Ability to handle confidential information with discretion and sound judgment.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook), Adobe, and document management systems; familiarity with office systems, visitor management, and work order platforms
- Ability to work independently and collaboratively in a fast-paced office environment.
Physical Requirements
- Ability to maintain regular and predictable attendance.
- Ability to be present onsite at the office in San Francisco 5 days a week (Monday – Friday).
- Ability to sit, stand, walk, and climb stairs in an office space.
- Ability to use a computer and related equipment, often for multiple hours each day.
- Ability to lift and/or move up to 25 pounds.

The expected salary range for this position is $105,000 - $120,000. Actual compensation will be determined based on experience, skills, qualifications, and other job-related factors. This position may also be eligible for bonus and a comprehensive benefits package.
Pay: $100,000.00 - $120,000.00 per year
