Bookkeeper and Dealership Office Manager
Premier Sports Cars is a family-owned automotive dealership in Springfield, Missouri, specializing in luxury, exotic, and collectible vehicles. We are seeking an experienced, dependable Bookkeeper and Office Manager to oversee our daily bookkeeping, dealership paperwork, and general office administration.
This is a full-time, in-office position. Bookkeeping and financial management will be the primary focus. The ideal candidate will be highly organized, trustworthy, comfortable handling confidential financial information, and able to manage a variety of responsibilities.
Primary Bookkeeping Responsibilities
- Maintain accurate company financial records
- Complete month-end bookkeeping and reporting
- Prepare profit and loss statements and other financial reports
- Process payroll and employee commissions
- Manage and reconcile company credit cards
- Maintain vehicle flooring accounts and flooring spreadsheets
- Prepare dealer reports
- Track tax information and available tax credits
- Manage company gas card accounts
- Send wire transfers and move funds between authorized accounts
- Prepare company checks and cashier’s checks
- Maintain loan and trust-related records
- Assist with confidential bookkeeping for company ownership
- Coordinate with accountants, banks, and other financial professionals
Dealership Accounting and Documentation
- Enter newly acquired vehicles into inventory
- Record vehicle costs and expenses
- Maintain inventory and vehicle deal records
- Prepare sales agreements and required dealership forms
- Issue temporary tags
- Process title paperwork, including DMV submissions and title reassignments
- Assist with customer financing and warranty paperwork
- Maintain dealer licensing requirements
- Prepare and organize documentation for vehicle purchases and sales
- Maintain CARFAX and other dealership-related accounts
Office Management
- Answer and direct incoming phone calls
- Create shipping labels and coordinate outgoing packages
- Order office supplies
- Maintain an organized filing and record-retention system
- Archive or securely dispose of outdated files
- Manage company email, Constant Contact, and other office systems
- Coordinate routine office and technology needs
- Help maintain an organized and professional office environment
Vendor Management
Serve as the primary point of contact for outside vendors, including:
- Cleaning services
- Window cleaning
- Floor mat services
- Copier and office equipment providers
- Phone and internet providers
- Website service providers
- Computer and Windows support
Qualifications
- Experience with bookkeeping or accounting, including hands-on experience with QuickBooks
- Proficiency with Microsoft Excel, email, and general office technology
- Understanding of accounts payable, accounts receivable, reconciliations, payroll, and financial reporting
- Excellent attention to detail and organizational skills
- Ability to handle sensitive and confidential information with discretion
- Strong written and verbal communication skills
- Ability to work independently and manage competing priorities
- Dependable, professional, and willing to take ownership of responsibilities
- Automotive dealership accounting, titling, financing, or office management experience strongly preferred
