The Purchasing Agent is responsible for sourcing, pricing, and procuring construction materials to support United Mechanical’s construction projects across Northern California. This role requires strong product knowledge, established vendor relationships, and the ability to balance cost, quality, and delivery schedules. The Purchasing Agent works closely with project managers, field operations, and the warehouse team to ensure materials are available on time and within budget.
Duties/Responsibilities

Review project plans and specifications to determine material requirements.

Source, quote, and purchase all construction and PVF materials including carbon steel, stainless steel, copper, and plastic pipe, valves, and fittings, sheet metal, using established list of vendors. Includes sourcing heavy machinery rentals.

Negotiate pricing, payment terms, and freight with vendors and distributors per company guidelines and industry standards under the supervision and approval of management.

Develop and maintain strong supplier relationships to ensure competitive pricing, availability, and on-time delivery.

Process, monitor, and manage all purchases and requests, including back orders, in accordance with company policies and project budgets, and ensure accurate and timely delivery of materials.

Communicate with vendors, project managers, warehouse, and field supervisors with any updates or issues with materials.

Field and execute request for quotes “RFQ” while maintaining data accuracy and compliance. May include non-disclosure requirements.

Assist with reconciliating all orders purchased to ensure all invoices are approved.

Support inventory management and cost tracking efforts in coordination with Accounting and Facilities.
Qualifications

Minimum 3 years of experience in purchasing, procurement, or supply chain within the mechanical construction industry.

Strong knowledge of construction materials including pipe, valve, and fitting (PVF) products, specifications, and manufacturers.

Strong experience working with mechanical contractors, fabricators, or distributors preferred.

Strong negotiation, communication, and organizational skills.

Proficient in purchasing systems, Excel, and ERP software (Sage 300 or similar preferred).

Detail-oriented, deadline-driven, and capable of managing multiple active orders.

Prior experience with RFQs, purchase orders, or material tracking.

Experience supporting mechanical contractors, fabricators, distributors, or construction field operations.
