Promo Depot is seeking an Event Operations Associate to support the organization, preparation, fulfillment, and management of event-related assets and inventory. This role is responsible for helping ensure that event kits, displays, branded materials, promotional products, and program-specific items are accurately picked, packed, pulled, staged, shipped, returned, and maintained.
This is a hands-on warehouse and logistics role for someone who is organized, detail-oriented, dependable, and able to follow processes closely. The ideal candidate understands that event shipments are deadline-driven and that accuracy is critical to delivering a successful client experience.
Key Responsibilities
- Pick, pack, pull, and stage event orders based on event requirements, packing lists, and internal instructions
- Manage and organize event assets, displays, signage, promotional materials, and reusable inventory
- Prepare event shipments to ensure items are complete, accurate, protected, and shipped on time
- Inspect event assets before and after use for damage, missing pieces, cleanliness, and overall condition
- Assist with check-in and restocking of returned event materials
- Track inventory movement, shortages, replacements, and items needing repair or replenishment
- Support program-specific shipping, fulfillment, and inventory needs as assigned
- Help maintain accurate warehouse organization for event assets and client program inventory
- Communicate order issues, missing items, damaged products, or inventory concerns to the appropriate team members
- Assist with receiving, labeling, organizing, and storing incoming products and event materials
- Follow established processes for quality control, packing standards, and shipment accuracy
- Support general warehouse, fulfillment, and shipping needs when event volume allows
- Maintain a clean, safe, and organized work area

Requirements
- Ability to lift boxes and event materials as needed
- Ability to stand, walk, bend, reach, and move throughout the warehouse for extended periods
- Basic computer or tablet skills

- Ability to work on-site during scheduled business hours
- Previous warehouse, inventory, fulfillment, event logistics, or shipping experience preferred

Hiring Process
Promo Depot is moving quickly to fill this role and may host a scheduled hiring open house for selected applicants, July 1st.
Qualified candidates may be invited to attend a structured in-person hiring session. The session may include a brief company overview, role discussion, group Q&A, a short role-specific exercise, and possible same-day follow-up conversations with selected candidates.
For this role, candidates may be asked to complete a brief exercise related to reading a packing list, identifying missing items, organizing an event shipment, or explaining how they would handle an inventory issue.
Attendance will be by invitation and scheduled time only.
