Job Title: Client Operations & Compliance Director (Medicaid Waiver Services)
Pay: $85,000 – $100,000/year (based on experience)
Schedule: Full-time, Monday–Friday (some flexibility for key meetings)
Location: In-person (Norfolk/Chesapeake area)

The Role (What You’ll Actually Own)
This is a senior operational role focused on client compliance, documentation integrity, and service execution across programs. Your job is to prevent drift, protect billing, and make sure nothing important gets missed.
Core Responsibilities
1) Compliance & Documentation Control (Therap)
- Monitor note completion + quality across programs
- Enforce same-day fixes when documentation is late/missing
- Maintain compliance visibility for leadership
2) Quarterlies + Part V Throughput
- Drive completion and submission timelines
- Keep Quarterlies and Part V packets moving (no backlogs)
- Ensure submissions are accurate and audit-ready
3) Appointment Execution + Closeout
- Ensure each appointment has an assigned staff owner
- Confirm appointment outcomes are documented and filed
- Track follow-ups, restrictions, and next steps
4) Incident Reporting & Risk Governance
- Ensure incidents are written clearly and fully (timeline, response, follow-up, prevention)
- Track trends (choking, diabetes, falls, ER, injuries)
- Escalate serious risk issues same day
5) Training & Compliance Tracking
- Track certifications (CPR, TB, med certs as applicable)
- Coordinate short trainings tied to real issues (notes, safety, routines)
- Maintain proof logs for compliance
What Success Looks Like (First 60–90 Days)
- Documentation compliance improves and stays consistent
- Quarterlies/Part V are on-time with clean submission packages
- Appointments don’t “sit on calendars” without outcomes
- Incidents are state-ready and trend tracking is active
- Leadership has clear visibility with fewer surprises
What We’re Looking For
- Experience in Medicaid waiver services / DD/ID / group home or day program strongly preferred
- Strong writing + documentation discipline
- Comfortable enforcing standards and following systems
- Organized, proactive, and consistent
- Therap experience is a plus (we can train the right person)
