We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. Duties
- Greet visitors and clients warmly, providing exceptional customer service and maintaining a professional front desk presence
- Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
- Schedule appointments, coordinate calendars, and organize meetings using Microsoft Office and Google Workspace tools
- Perform data entry, filing, proofreading, and document management to ensure accuracy and organization
- Handle incoming and outgoing correspondence, including emails, mail, and packages with attention to detail
- Support office management tasks such as inventory tracking, supply ordering, and maintaining cleanliness of common areas
- Assist with bookkeeping tasks using QuickBooks or similar accounting software when necessary
- Provide clerical support including typing reports, preparing documents, and managing confidential information
Experience
- Proven office experience or administrative support background demonstrating strong organizational skills
- Familiarity with multi-line phone systems, front desk procedures, and customer service best practices
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic computer literacy
- Experience with data entry, filing systems, proofreading documents, and managing schedules effectively
- Bilingual abilities are highly desirable to serve diverse client needs
- Knowledge of medical or dental receptionist duties or personal assistant experience is a plus
- Demonstrated ability to handle phone etiquette professionally while supporting multiple tasks simultaneously
- Previous bookkeeping or QuickBooks experience is advantageous for financial recordkeeping tasks
