busy real estate law firm is seeking a professional, organized, and personable Part-Time Legal Receptionist to join our team. Our firm focuses primarily on short-sale transactions throughout the State of Florida.
This position will initially be part-time but has the potential to develop into a full-time position based on the candidate’s performance, reliability, the needs of the firm, and continued growth.
The ideal candidate will be comfortable communicating with homeowners, real estate agents, mortgage lenders, loan servicers, title companies, and other professionals involved in real estate transactions. This position requires excellent communication skills, attention to detail, patience, and the ability to follow up consistently on pending matters.
Prior experience in a law firm, real estate office, title company, mortgage company, or customer-service position is preferred but not required. Training will be provided to the right candidate.
Responsibilities
- Answer incoming telephone calls in a professional and courteous manner.
- Greet clients and visitors to the office.
- Communicate with clients regarding the status of their short-sale files.
- Contact mortgage lenders and loan servicers to request updates and documentation.
- Communicate with real estate agents, title companies, buyers, sellers, and other transaction participants.
- Schedule appointments and maintain the firm’s calendar.
- Take detailed messages and promptly route them to the appropriate staff member.
- Request, receive, organize, and upload documents.
- Assist clients with completing forms and gathering required financial information.
- Maintain accurate notes regarding telephone calls, emails, and file activity.
- Follow up on outstanding documents, lender requests, and pending deadlines.
- Scan, copy, file, and organize legal and real estate documents.
- Assist attorneys, paralegals, and short-sale negotiators with administrative tasks.
- Maintain the confidentiality of client and firm information.
- Perform other general office duties as assigned.

Preferred Qualifications
- Previous experience as a receptionist, administrative assistant, legal assistant, or customer-service representative.
- Experience working in a law firm, real estate office, title company, mortgage company, or financial-services business.
- Familiarity with real estate transactions, mortgages, foreclosures, or short sales.
- Experience communicating with mortgage lenders and loan servicers.
- Knowledge of legal or real estate terminology.
- Bilingual English and Spanish communication skills are a plus.
Ideal Candidate
The ideal candidate is confident on the telephone, compassionate with clients, persistent when following up with lenders, and capable of remaining organized in a busy office. This person should understand the importance of returning calls, documenting communications, meeting deadlines, and providing clients with excellent service.
We are looking for someone interested in growing with the firm. A successful candidate may have the opportunity to transition into a full-time role with expanded responsibilities.
