Part-Time Administrative, Data Entry & Bookkeeping Assistant – Cattle Ranch Operations

Position Summary
We are seeking a dependable and detail-oriented Part-Time Administrative, Data Entry & Bookkeeping Assistant to support the office and recordkeeping functions of a progressive cattle ranch operation in Perkins, Oklahoma. This position is responsible for maintaining accurate cattle records, assisting with reproductive program data management, supporting bookkeeping activities, and handling day-to-day administrative operations.
The ideal candidate will possess strong organizational skills, excellent attention to detail, and the ability to work independently in a fast-paced agricultural environment.
Essential Duties & Responsibilities
- Enter and maintain cattle records in CattleMax software.
- Track and record animal inventory, breeding, calving, health, and production data.
- Create, update, and maintain spreadsheets and reports using Microsoft Excel.
- Manage and update reproductive program information through Heat Seiker and Trans Ova systems.
- Assist with accounts payable functions, including entering invoices, maintaining vendor records, and preparing documentation for payment processing.
- Assist with accounts receivable functions, including invoicing, tracking payments, and maintaining customer records.
- Enter and maintain financial records in QuickBooks Online.
- Review records for accuracy and resolve data discrepancies.
- Organize and maintain electronic and physical filing systems.
- Prepare reports and summaries for ranch management.
- Provide general administrative and clerical support as needed.
- Run business-related errands, including bank deposits, FedEx/UPS package drop-offs, office supply purchases, and other miscellaneous tasks as assigned.
- Communicate professionally with vendors, service providers, customers, and ranch personnel.
Qualifications
- Previous administrative, clerical, bookkeeping, or data entry experience preferred.
- Strong computer skills, including proficiency in Microsoft Excel.
- Basic understanding of accounts payable and accounts receivable processes preferred.
- Excellent attention to detail and data accuracy.
- Strong organizational and time-management abilities.
- Ability to maintain confidentiality and handle sensitive information.
- Self-motivated with the ability to work independently.
- Agriculture, livestock, or cattle industry experience is preferred but not required.
- Must possess a valid driver's license, maintain an acceptable driving record, and have reliable personal transportation.

Experience with any of the following programs is highly desirable:
- CattleMax
- Microsoft Excel
- QuickBooks Online
- Heat Seiker
- Trans Ova
Physical Requirements
- Primarily office-based work.
- Ability to sit and work at a computer for extended periods.
- Ability to travel locally to complete business-related errands.
- Interaction with ranch personnel and operations.
