This Operations Administrator role is based in Gardiner, ME, operating out of a beautifully renovated historic building. This role is the backbone to a highly successful wealth management team. The role is grounded in high-volume, detail-intensive work that keeps a team of producing advisors in Maine running at pace. Practically, the work revolves around processing everything advisors need that does not require a license: updating client records, preparing and submitting documents (especially Schwab and annuity applications), and handling daily requests under strict standard operating procedures. The team operates with detailed playbooks optimized for business results and customer experience, requiring the ability to adopt proven methods and consistent, high quality output. The role has frequent advisor interaction and some client-facing tasks like onboarding. Success requires high intelligence, fast learning, and total coachability. Advancement is possible for those committed to the admin track; leadership of growing cross-functional admin team is realistic.
Responsibilities
- Process administrative tasks for a team of financial advisors including updating client records, preparing and submitting paperwork (especially Schwab and annuity applications), and handling all daily requests that do not require licensing.
- Execute all work aligned to detailed, step-by-step playbooks.
- Provide real-time support for advisors, and prompt response to client requests.
- Engage in some client-facing activities such as onboarding, completing documentation with clients, and maintaining accurate, timely communications.
- Uphold reliability and accountability for completing all tasks in a timely manner.
- Demonstrate ownership of operational responsibilities and readiness to grow into higher-responsibility admin roles, not advisory.
