About The Mill Westport
The Mill is a high-end residential condominium community of 31 owner-occupied residences in Westport, Connecticut. Our On-Site Service Team provides a welcoming, professional presence and serves as a central point of contact for residents, guests, vendors, and visitors.
The Role
The part-time On-Site Service Coordinator is an ambassador for The Mill Westport and part of a team that provides consistent coverage and exceptional hospitality. As a key ambassador for The Mill Westport, the Coordinator helps enhance the residential experience for homeowners and guests in a beautiful, comfortable environment. The role is hands-on and varied - assisting residents, managing building access, coordinating vendors and deliveries, supporting guest stays, monitoring common areas, and addressing day-to-day needs.
Key Responsibilities
Create a warm, professional, hospitality-focused experience for residents, guests, vendors, and visitors.
Serve as a gatekeeper for the building by managing the digital entry system and verifying guests and service providers before granting access.
Respond to resident questions and requests, provide helpful information or recommendations, solve problems, and follow through to resolution.
Handle phone calls, emails, and light administrative duties with professionalism.
Assist with packages, deliveries, groceries, luggage, dry cleaning, and similar resident needs.
Coordinate guest accommodations, vendor/contractor access, and move-in/move-out logistics.
Maintain basic knowledge of the building's fire safety and emergency protocols.
Use the resident/property management portal to log maintenance requests, support amenity bookings, and coordinate resident needs.
Serve as a liaison with third-party vendors, including housekeepers, dog walkers, and contractors, helping ensure adherence to building rules and minimal disruption to residents.
Monitor the cleanliness and readiness of common areas, including the lobby, gym, and lounge, and promptly address or report issues.
Maintain clear records and communications and coordinate handoffs with the service team and property management.
Take initiative, anticipate needs, and support the overall operation of The Mill.
What We're Looking For & Schedule
A genuine hospitality and service mindset with excellent interpersonal and communication skills.
Strong organization, attention to detail, judgment, problem-solving, discretion, and follow-through.
A friendly, approachable, professional demeanor and the ability to work independently while contributing to a team.
Ability to multi-task, manage time efficiently, respectfully reinforce community standards, and manage multiple priorities.
Prior customer service or hospitality experience preferred.
Basic proficiency with Microsoft Word and Excel and comfort learning property management and other systems.
Knowledge of Westport's dining, retail, and cultural offerings is an added advantage and can help provide residents with a higher level of local service.
Schedule flexibility and ability to lift/carry items up to approximately 30 pounds.
Part-time, generally two to four days per week, with days varying based on team coverage and community needs.
Typical weekday coverage is Monday-Friday, 9:00 a.m.-5:00 p.m. Saturday coverage is part of the team's rotating schedule and requires flexibility.
Occasional schedule adjustments may be needed.
