Responsibilities
- Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Perform data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace
- Maintain organized filing systems, both physical and digital, ensuring easy access to important documents
- Assist with calendar management and scheduling appointments for staff or clients, including medical or dental appointments if applicable
- Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
- Provide excellent customer service by addressing inquiries promptly and professionally, supporting customer support efforts as needed
- Handle clerical tasks such as proofreading documents, preparing reports, and managing correspondence efficiently
Requirements
- Proven office management or administrative experience with strong organizational skills
- Proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic typing skills
- Experience with data entry, filing systems, and document proofreading to ensure accuracy and clarity
- Familiarity with multi-line phone systems and excellent phone etiquette for professional communication
- Bilingual abilities are highly desirable to support diverse client needs
- Knowledge of bookkeeping tools like QuickBooks is a plus; experience in medical or dental receptionist roles is advantageous
- Strong time management skills with the ability to prioritize tasks effectively in a fast-paced environment
