We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties
- Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and providing exceptional customer support with professional phone etiquette.
- Perform data entry, filing, and document proofreading to maintain accurate records and ensure clarity in all communications.
- Utilize office management tools such as Microsoft Office Suite, Google Workspace, and QuickBooks for bookkeeping, scheduling, and record keeping.
- Coordinate calendar management and appointment scheduling for team members or executives while handling personal assistant tasks as needed.
- Support office operations by managing supplies inventory, overseeing filing systems, and assisting with general clerical duties to keep the office running smoothly.
- Provide excellent customer service by addressing inquiries promptly, supporting clients or patients (including dental or medical receptionist duties), and ensuring positive interactions at all times.
- Assist with bookkeeping tasks such as invoicing or expense tracking to support financial accuracy and transparency.
Requirements
- Proven office experience with strong organizational skills and attention to detail.
- Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry skills.
- Experience with QuickBooks or similar accounting software is highly desirable.
- Excellent communication skills with the ability to handle multi-line phone systems confidently; bilingual abilities are a plus.
- Strong typing skills along with time management expertise to prioritize tasks efficiently.
- Previous clerical experience in medical or dental reception is advantageous; familiarity with office management or administrative support roles is preferred.
- Knowledge of office procedures such as filing, proofreading, calendar management, and customer support practices.
