Job Summary
We are seeking a dependable, detail-oriented Customer Service and Order Entry Specialist to join our team. This versatile role combines frontline customer support, sales order processing, and light administrative duties. The ideal candidate will have a customer-first mindset, strong organizational skills, and a mechanical inclination that allows them to effectively understand and communicate about our products. This position plays a key role in ensuring customer satisfaction while maintaining accurate records in our ERP system and supporting basic HR administrative needs.
Duties and Responsibilities
- Answer incoming phone calls and customer inquiries in a professional, friendly, and timely manner.
- Take and process customer orders via phone, email, or other channels.
- Provide product information, pricing, availability, and technical guidance to customers, leveraging mechanical knowledge to recommend solutions and troubleshoot basic issues.
- Resolve customer concerns, complaints, or issues efficiently while maintaining positive relationships.
- Follow up with customers on order status, back orders, or shipping updates.
- Accurately enter and maintain sales orders, quotes, and related data in the company ERP system.
- Verify order details, pricing, and customer information to ensure accuracy and minimize errors.
- Coordinate with internal teams (sales, production, shipping, and accounting) to facilitate smooth order fulfillment.
- Maintain organized customer and order files, both digital and physical.
- Assist with filing and organizing HR documents, including employee records, forms, and compliance paperwork.
- Support basic administrative tasks such as scanning, copying, and maintaining departmental records.
- Help with other light office duties as needed.
Qualifications
- High school diploma or GED required, Associate’s or Bachelor’s degree preferred.
- 1–3 years of customer service or inside sales experience.
- Mechanical inclination or previous experience in a technical/mechanical field (e.g., automotive, manufacturing, equipment, or industrial products) is strongly preferred.
- Experience with ERP systems (such as Epicor, SAP, Oracle, Acumatica, or similar) is a plus.
- Proficient in Microsoft Office Suite (especially Outlook, Word, and Excel).
- Excellent verbal and written communication skills.
- Strong attention to detail and elevated level of accuracy in data entry.
- Ability to multitask, prioritize effectively, and work in a fast-paced environment.
- Cheerful outlook, collaborator, and commitment to excellent customer service.
Preferred Attributes
- Familiarity with mechanical components, tools, or equipment.
- Prior experience in manufacturing, distribution, or technical product environments.
- Basic knowledge of HR filing and record-keeping practices.
