Position Summary
Advantage Landscape is seeking a highly motivated and detail-oriented Finance & Administration Manager to oversee the day-to-day financial operations of the company.
This position plays a critical role in maintaining the organization's financial health by managing billing, accounts receivable, accounts payable, cash flow, budgeting, financial reporting, and customer account administration.
This individual will work closely with ownership, operations, and project managers to ensure accurate financial reporting, improve cash flow, support strategic planning, and provide exceptional service to both customers and vendors.
Primary Responsibilities
Financial Management
- Assist with the development and management of annual operating budgets.
- Prepare monthly budget-to-actual variance reports.
- Monitor company cash flow and prepare weekly cash flow forecasts.
- Assist leadership with financial planning and forecasting.
- Analyze financial trends and identify opportunities to improve profitability.
- Prepare financial reports for ownership and management.
- Assist with month-end and year-end financial close.
- Support job costing and profitability analysis.
- Help develop KPIs and company financial dashboards.
Accounts Receivable
- Manage all customer billing and invoicing.
- Monitor accounts receivable aging.
- Lead collection efforts on overdue invoices.
- Prepare weekly AR reports.
- Work with Operations to resolve billing disputes.
- Maintain customer payment histories.
- Reduce Days Sales Outstanding (DSO).
Accounts Payable
- Process vendor invoices.
- Review purchase orders and receipts.
- Schedule vendor payments.
- Maintain vendor relationships.
- Reconcile vendor statements.
- Ensure timely payment of all obligations.
Billing & Contract Administration
- Set up new customer contracts.
- Process contract renewals.
- Prepare progress billing for construction projects.
- Manage recurring maintenance billing.
- Process change orders.
- Verify completed work before invoicing.
- Maintain accurate contract documentation.
Financial Analysis
- Perform profitability analysis by division, customer, and project.
- Monitor labor and material costs.
- Analyze overhead expenses.
- Identify cost-saving opportunities.
- Support pricing strategy and estimating.
- Assist with annual budgeting and forecasting.
- Track key financial metrics and report findings.
Cash Flow Management
- Prepare weekly cash flow reports.
- Forecast future cash needs.
- Monitor incoming and outgoing cash.
- Coordinate payment schedules with vendors and customers.
- Assist leadership with capital planning.
- Help maintain appropriate working capital levels.
Administrative & Office Management
- Maintain financial records and files.
- Process certificates of insurance and customer requests.
- Coordinate lien waivers and project closeouts.
- Assist with payroll support as needed.
- Support audits and tax preparation.
- Improve financial systems and administrative processes.
Qualifications
- Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
- 4+ years of accounting or finance experience.
- Experience with construction or landscape accounting preferred.
- Strong understanding of financial statements.
- Budgeting and forecasting experience.
- Cash flow management experience.
- Job costing knowledge.
- QuickBooks experience required (Method CRM experience is a plus).
- Advanced Microsoft Excel skills.
