Overview
We are seeking an energetic and dedicated Concierge Associate to join our dynamic team. In this role, you will be the first point of contact for visitors and clients, providing exceptional customer service and ensuring smooth daily operations. Your proactive approach, organizational skills, and friendly demeanor will help create a welcoming environment while supporting administrative functions. This paid position offers an exciting opportunity to develop your office management expertise within a vibrant professional setting. Hours will be 4:00 PM–12:00 AM, or 6:00 PM–2:00 AM. Monday- Friday; alternating weekends will be required at later date.
Responsibilities
- Greet visitors, clients, and vendors with professionalism and enthusiasm, ensuring a positive first impression.
- Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette.
- Assist and monitor security efforts for the building and guests.
- Handle front desk duties including checking in guests, managing appointments, and maintaining visitor logs.
- Perform clerical tasks such as data entry, filing, proofreading documents, and organizing office supplies.
- Support administrative functions including calendar management, scheduling meetings, and coordinating appointments.
- Utilize Microsoft Office Suite (Word, Excel) and Google Workspace tools to prepare documents, reports, and correspondence.
- Assist with basic bookkeeping tasks using QuickBooks or similar software to support office financial records.
Requirements
- Bilingual abilities are highly preferred to effectively communicate with diverse clients and visitors.
- Proven office management or front desk experience with strong organizational skills.
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace, and multi-line phone systems.
- Demonstrated customer service skills with a friendly attitude and professional phone etiquette.
- Experience in clerical duties such as data entry, filing, proofreading, and document preparation.
- Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Previous personal assistant or administrative experience is a plus; familiarity with calendar management and bookkeeping is advantageous.
