POSITION SUMMARY
KALLATI is seeking a Shipping & Receiving Specialist to support the day-to-day logistics, inventory movement, and operational coordination of our fine jewelry business.
This role is ideal for someone who is adaptable, resourceful, and thrives in a fast-paced environment where priorities can shift quickly. The Shipping & Receiving Specialist will oversee the secure handling of high-value jewelry inventory while also supporting broader operational needs, including shipment coordination, inventory tracking, marketing materials management, and cross-functional projects.
Success in this role requires exceptional attention to detail, strong organizational skills, proficiency with spreadsheets and shipping platforms, and a willingness to step in wherever needed.
ESSENTIAL JOB RESPONSIBILITIES
- Prepare, pack, and ship jewelry for replenishments, consignment orders, special orders, trunk shows, cruise line operations, and retail partners.
- Receive incoming shipments and reconcile products against invoices, packing lists, style numbers, images, and inventory records.
- Create and manage domestic and international shipping labels using carrier platforms such as FedEx, DHL, UPS, and other online shipping systems.
- Coordinate shipments with couriers, port agents, sales representatives, and internal stakeholders to ensure timely delivery.
- Monitor shipment status and proactively resolve issues related to delays, damages, customs documentation, or missing items.
- Track inventory movement and shipment activity using spreadsheets, proprietary systems, and email documentation.
- Maintain accurate records and perform regular inventory reconciliations to ensure data integrity and audit readiness.
- Support monthly reconciliation processes with cruise representatives and internal teams.
- Organize and maintain shipping, inventory, and storage areas to ensure efficiency and accuracy.
- Manage and distribute marketing materials, including brand books, boxes, point-of-sale displays, packaging materials, bags, and promotional giveaways.
- Provide operational support for jewelry-related projects and cross-functional initiatives as business needs evolve.
- Cross-train with team members to ensure seamless coverage during absences, peak seasons, and high-volume periods.
- Adhere to all standard operating procedures related to inventory handling, shipping, customs requirements, and security protocols.
- Maintain strict confidentiality, accountability, and professionalism when handling high-value merchandise.
QUALIFICATIONS
- 2+ years of experience in shipping, receiving, logistics, inventory control, operations, or a related field.
- Experience handling jewelry, luxury products, or other high-value goods is strongly preferred.
- Proficiency with Microsoft Excel and spreadsheets, including tracking inventory, updating records, and navigating data efficiently.
- Experience creating shipping labels and coordinating shipments through online carrier platforms such as FedEx, DHL, and UPS.
- Familiarity with international shipping processes, customs documentation, and shipment tracking is preferred.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Adaptable, resourceful, and comfortable working in an environment where responsibilities may evolve based on business needs.

PHYSICAL REQUIREMENTS
- Ability to lift, carry, and move boxes weighing up to 50 pounds safely.
- Frequent standing, walking, bending, stooping, reaching, and handling of inventory throughout the workday.
- Manual dexterity required for tagging, packing, inspecting, and organizing jewelry and shipping materials.
- Ability to push and pull carts and safely use equipment for transporting shipments.
- Ability to maintain focus and accuracy during repetitive tasks in a fast-paced environment.

COMPENSATION & BENEFITS
- Hourly pay range: $24.00-$28.00 per hour ($49,920-$58,240 annually), based on experience.
- Paid time off: 20 days annually, including vacation, sick, holiday, and personal time, accrued after the introductory period.
