The Administrative & Operations Coordinator supports human resources, payroll, administrative, and operational functions across multiple bakery locations. This role helps keep daily operations running smoothly by maintaining accurate records, coordinating key processes, supporting executive leadership, and ensuring efficient, compliant operations in a fast-paced environment.

To thrive/succeed as the Admin & Operations Coordinator you should have:

High school diploma or equivalent required; Associate’s degree in Business Administration, Human Resources, or a related field preferred.

1–3 years of experience in administrative support, office management, operations, or HR coordination preferred; experience supporting executive leadership and multi-location operations is a plus.

Strong organizational, time management, and communication skills with exceptional attention to detail, sound judgment, and the ability to handle confidential information.

Proficiency in Microsoft Office Suite, Google Workspace, and spreadsheet applications, with the ability to manage multiple priorities in a fast-paced environment.

Professional, proactive, and dependable, with strong problem-solving skills and the ability to work independently and collaboratively across departments.

Flexibility to travel between company locations as needed and perform the physical requirements of the role, including extended computer use and occasionally lifting up to 20 pounds, with reasonable accommodation as applicable.
Your responsibilities as the Admin & Operations Coordinator will include:

Maintain employee personnel files and HR records, including onboarding, offboarding, I-9s, performance documentation, disciplinary records, and other employment-related files.

Serve as the administrative liaison between the company’s PEO and internal management, supporting HR processes and compliance.

Assist with payroll administration, including timecard reviews, audits, and documentation management.

Support compliance with federal, California, and local employment laws, as well as company policies and procedures.

Provide administrative support to executive leadership, including scheduling, correspondence, document preparation, reports, spreadsheets, and presentations.

Maintain organized digital and physical filing systems while protecting confidential employee and company information.

Coordinate operational and administrative activities across multiple bakery locations, including permits, licenses, certifications, inspections, and compliance deadlines.

Support special projects, process improvements, internal communication, and information flow between locations and departments.
