Description
Principal Objectives of the Assistant Community Manager
Property Management: The Assistant Community Manager assists the Community Manager in leading and supervising property operations, financial activities, regulatory compliance, and guides interactions with all stakeholders – residents, HTPG personnel, regulatory agency officials, clients, community officials, vendors, and customers on the property.
The Assistant Community Manager possesses a passion for customer service that inspires associates and vendors to deliver the highest quality product, comprehensive services, respect, and hospitality HTPG customers expect.
Requirements for the Assistant Community Manager
Education/Training
- High school diploma or equivalent combination of education required. Industry designations such as CAM, ARM®, CAPS and CCM® are strongly encouraged.
Experience/Skills
- A minimum of 2 years’ experience in property management
- Valid driver’s license in the state of residence
- Proficiency in Microsoft Excel, Word, and Yardi.

Essential Functions for the Assistant Community Manager
Client Service
- Ensure the delivery of excellent client service.
- Compile information for clients and owner reports accurately and on time
- Respond in a timely fashion to questions, correspondence, e-mails and phone requests from clients, lenders, investors, contractors, vendors, and regulatory agency personnel.
- Anticipate resident needs and promptly respond to them.
- Treat all customers, visitors, vendors, and associates with respect.
- Ensure best-in-the-industry response times to unit issues, repairs, and resident needs.
- Work through resident disputes in a fact based and solution driven way.
Marketing/Sales/Leasing
- If applicable, develop, implement, and monitor marketing plan for the lease-up of the property that maximizes lease up pace, net revenue of the property and client requirements.
- If the property has a regulated housing program, ensure that all eligibility requirements are met for applicants and residents.
- Generate a sustaining flow of qualified prospective residents.
- Regularly conduct marketing surveys to be aware of competitors’ activities in the surrounding marketplace and make recommendations based on survey analysis.
- Show and lease apartments.
- Achieve and maintain designated occupancy goals / objectives.
- Create and monitor occupancy and associated reports to monitor traffic and closing performance.
- Participate in community affairs and maintain positive public image for the property.
Customer Retention
- Develop, implement, and monitor marketing strategies to maximize resident retention.
- Develop and implement positive resident relations program for the community.
- Respond to resident needs and input.
- Resolve any conflicts between residents and address issues promptly.
Other Responsibilities
- Supervise and support the leasing team to ensure daily operations run efficiently.
- Process and submit all OneApp move-out claims and guarantor claims in a timely manner.
- Complete resident renewals and submit the updated Renewal Tracker every Monday.
- Review and approve rental applications in accordance with company policies.
- Address and resolve resident concerns while providing excellent customer service.
- Assist the Property Manager with delinquency management, including rent collections and resident follow-up.
- Manage the eviction process, including filing evictions, when the Property Manager is out of the office.
- Collect resident payments and ensure they are accurately posted to resident accounts.
- Actively lease apartments and assist in achieving the property's occupancy goals.
- Work every first Saturday of the month as part of the management schedule.
- Ensure resident ledgers are accurate by posting lease charges, concessions, deposits, and other required charges correctly.
- Assist with maintaining compliance with company policies, lease agreements, and operational procedures.
- Support the Property Manager with the overall day-to-day operations of the community and maintain a professional work environment.
