Petro-Diamond Incorporated is a leading company in the trade, marketing and distribution of clean petroleum transportation fuels in Southern California.
Description:
This a newly created hands-on and entry level role responsible for assisting and supporting the day-to-day operation of the department as well as the execution of special projects. The role required a team player responsible for implementing and executing various HR-related programs/initiatives across the company. The position will also support the office administration of both the corporate office and the terminal facility, while serving as liaison with Mitsubishi Corporation – Japan, concerning the execution of logistics and administrative affairs.
Responsibilities:
Human Resources & Office Administration:

Support the recruitment function by screening resumes, contacting eligible candidates and scheduling interviews with the hiring team.

Coordinating the new hire orientation by compiling the new hire paperwork and execution of background checks prior to employment
-
Responsible for employee’s record/document management ensuring accuracy and compliance with federal and state labor legislation
-
Provide assistance in the execution of HR policies and procedures
-
Responsible for coordinating all engagements initiatives and company events; including vendors research and budget/costs
-
Responsible for new hire benefits enrollment process, qualified changes and terminations
-
Maintaining records of incidents, injuries for worker’s compensation compliance
-
Serve as backup for payroll processing
-
Responsible for updating the organization chart and contact list, as needed

First point of contact for calls and in-person inquiries from vendors and general public
-
Attend/receive deliveries for the corporate office
-
Receive, open, sort and deliver all incoming daily mail
-
Process requests for business cards
-
Keep inventory of supplies for PDI and PDTC and provide monthly purchase orders for processing to the HR Manager

Provide support in coordinating the logistics for the corporate office document control, organization and storage
-
Support with all building maintenance needs as they present
Corporate Planning & Governance Support (Headquarter – Japan):

Provide support in all logistics matters when coordinating the quarterly Board of Directors.

Collecting attendees’ availability
-
Consolidating presentation materials
-
Arranging meeting venues and dinners
-
Shareholder and visitor coordination
-
Travel arrangements and hotel reservations
-
Provide support for periodic shareholder reporting
-
Coordinating with Mitsubishi Corporation in Japan the approval of credit renewals

Other recurring compliance – related submissions
Qualification Requirements:

Bachelor’s degree is required, preferably in Human Resources or Accounting

Fully bilingual English and Japanese
-
Experience in the petroleum distribution industry is highly preferred

Experience working with C-level upper management
-
Able to work in an extremely high fast-paced environment

2 – 3 years of experience working with HRIS as well as ATS

Extremely detailed oriented

Excellent organization and presentation skills

Fast and accurate data processing and analysis

Able to superbly manage cut-off tasks and dates
-
Extremely responsive (flexible) to business prioritization requests
