We are seeking a dynamic and highly organized Administrative Assistant to join our team! The Administrative Assistant serves as the central support for the daily operations of Park Place Christian Church. This role provides essential administrative, communication, and organizational support to the pastor, ministry teams, and congregation. The Administrative Assistant is often the first point of contact for members and visitors and is expected to represent the church with warmth, professionalism, and confidentiality.
Primary Responsibilities:
Office & Administrative Support
- Office management — Maintain an organized, welcoming office environment; manage mail, supplies, and general office needs
- Reception duties — Answer phones, greet visitors, respond to inquiries, and direct individuals to appropriate ministries or staff
- Scheduling support — Assist with calendars, appointments, building use, and meeting coordination
- Maintain confidentiality regarding church records, pastoral matters, and member information
Communication & Publications
- Prepare weekly worship bulletins, inserts, and announcements
- Assist with weekly newsletters, email communications, and social‑media updates as needed
- Create and distribute church-wide communications in print and digital formats
- Maintain the church website or online platforms (if applicable)
- Maintain confidentiality regarding church records, pastoral matters, and member information
Recordkeeping & Data Management
- Maintain accurate membership records, attendance logs, and church databases
- Track prayer requests, pastoral‑care notes, and ministry updates as directed
- Support stewardship and giving records with accuracy and confidentiality
Financial & Technical Responsibilities
- QuickBooks proficiency required — enter contributions, expenses, invoices, and deposits
- Maintain spreadsheets for budgeting, reporting, and ministry tracking
- Support basic financial reporting for the Treasurer and Finance Team
- Assist with database entry, file management, and general office technology
Support to Pastor & Ministry Teams
- Provide administrative support for the Senior Pastor, including correspondence, scheduling, and document preparation
- Assist ministry teams with materials, communication, and event preparation
- Help coordinate funerals, weddings, special services, and seasonal events as needed
Qualifications
- Proficiency in QuickBooks, spreadsheets, and database entry
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Docs, Sheets), email platforms, office technology, and data entry skills
- Excellent communication and interpersonal skills
- Strong organizational abilities and attention to detail
- Ability to work independently and manage multiple tasks
- Professionalism, discretion, and a welcoming presence
- Commitment to the mission and values of Park Place Christian Church (Disciples of Christ)
- Experience with Church specific applications a plus (Servant Keeper, EasyWorship, etc.)
- Knowledge of clerical procedures such as proofreading, filing, and document management
- Demonstrated time management skills with the ability to multitask confidently in a busy setting
Work Schedule
- 20 hours per week
- In person 9:00 am–1:00 pm Monday–Friday,
- Occasional flexibility for special events or seasonal needs
