Our modern, high-end Med Spa is seeking an Office Manager/Receptionist to become the welcoming face and organizational backbone of our practice. This role is perfect for someone who thrives in a fast-paced aesthetic environment, loves interacting with clients, and can balance administrative excellence with warm, luxury-level service.
An esthetician background or familiarity with skincare is a strong plus, though not required.
Duties
- Client Communication — Manage inbound and outbound calls with professionalism, warmth, and efficiency.
- Front Desk Excellence — Greet clients, check them in/out, and ensure every guest receives a seamless, five-star experience.
- Scheduling & Rescheduling — Maintain accurate appointment calendars, assist with rescheduling, and coordinate provider schedules.
- Membership/Payments — Guide clients through membership/payment options and complete onboarding with clarity and confidence.
- Facial Scans — Operate facial imaging systems (training provided) and assist providers with scan preparation.
- Office Management — Maintain a clean, organized workspace, manage supplies, and support daily operational needs.
Skills & Qualifications
Required
- Experience: 1–2 years in a front desk, receptionist, or administrative role (preferably in a spa, salon, or medical office).
- Communication: Exceptional verbal and written communication skills; polished, friendly, and professional.
- Organization: Strong multitasking abilities and attention to detail.
- Tech Savvy: Comfortable with scheduling software, POS/EMR systems, and basic social media platforms.
- Professionalism: Warm, polished appearance and demeanor suitable for a luxury medical environment.
Preferred
- Esthetician License: A plus, but not required.
- Industry Experience: Med spa, dermatology, plastic surgery, or beauty industry background.
- Passion: Genuine interest in skincare, aesthetics, and wellness.
