Riding Club Concierge/AdministratorPosition Summary
Lone Star Ranch is seeking a highly organized, self-motivated, customer-focused Riding Club Concierge/Administrator to support the daily operations and growth of our Riding Club.
This position serves as the primary administrative coordinator for riders, families, instructors, staff, and prospective clients. The Riding Club Concierge/Administrator is responsible for scheduling, member services, client communications, payment processing, instructor coordination, membership administration, sales support, and operational organization.
As one of the first points of contact for our members and guests, this individual plays a critical role in creating a welcoming, professional, and exceptional customer experience while helping drive membership growth and retention.
The ideal candidate is detail-oriented, highly organized, personable, and capable of managing multiple priorities in a fast-paced hospitality and equestrian environment.

Primary ResponsibilitiesMember & Client Relations
· Serve as the primary point of contact for Riding Club members, families, prospective clients, and guests.
· Greet guests with a welcoming, professional, and friendly demeanor.
· Respond promptly to phone calls, emails, text messages, and online inquiries.
· Provide information regarding lessons, memberships, camps, clinics, horse shows, and riding programs.
· Conduct follow-up communication with prospective members and leads.
· Assist with member onboarding and orientation.
· Address client concerns professionally and escalate issues when appropriate.
· Support membership retention through proactive communication and relationship building.
Sales & Customer Service Support
· Follow up with prospective clients and leads.
· Convert inquiries into riding lesson enrollments and memberships.
· Promote camps, clinics, horse shows, memberships, and special programs.
· Assist with member communications, newsletters, and announcements.
· Support marketing initiatives and social media updates as assigned.
· Help identify opportunities to improve member satisfaction and grow participation.
Scheduling & Staff Coordination
· Manage lesson scheduling for riders and instructors.
· Coordinate instructor schedules, availability, and coverage.
· Schedule make-up lessons and rescheduling requests.
· Maintain riding calendars, facility schedules, and arena assignments.
· Assist with scheduling camps, clinics, horse shows, and special events.
· Support staff onboarding and scheduling administration.
· Ensure efficient utilization of instructors and facilities.
Membership & Program Administration
· Maintain accurate member records and attendance records.
· Process membership enrollments, renewals, changes, and cancellations.
· Track rider participation and lesson attendance.
· Maintain lesson rosters and program records.
· Assist with rider evaluations and placement tracking.
· Coordinate weather-related schedule changes and notifications.
· Support camp registrations and horse show participation.
Administrative & Operational Support
· Manage forms, waivers, documentation, and records.
· Maintain electronic and paper filing systems.
· Order office and program supplies.
· Assist management with reports and operational summaries.
· Maintain a clean, organized, and professional workspace.
· Support special projects and administrative needs as assigned.
· Maintain confidentiality of member and company information.

Preferred
· Experience in an equestrian, riding school, hospitality, recreation, or membership-based environment
· Experience with scheduling systems and CRM software
· Experience with payment processing and invoicing
· Basic knowledge of horse-related terminology and riding programs
· Sales, front desk, customer service, or hospitality experience
