Verdant Practice Solutions is seeking a Patient Experience Coordinator to support a boutique aesthetic medicine practice in Santa Monica.
We are looking for someone who brings warmth, professionalism, exceptional attention to detail, and a genuine instinct for hospitality. This is an on-site, patient-facing role within a highly personalized clinical environment where the smallest details matter.
Medical or aesthetics experience is not required. We are especially interested in candidates who are highly organized, polished, tech-savvy, eager to learn, and excited by the opportunity to grow within a small, high-performing team.

We’re looking for a full-time Patient Experience Coordinator to join us.
About the Role
The Patient Experience Coordinator is at the center of the day-to-day patient experience at the Clinic.
You’ll welcome patients, manage scheduling and communication, process payments, answer phones and messages, help maintain a beautiful and organized environment, and support the team in keeping the clinic running smoothly.
This is a hands-on role. Some moments will involve warmly welcoming a new patient or helping coordinate their care; others may involve restocking a room, organizing inventory or noticing that something in the reception area needs attention and taking care of it without being asked.
Previous medical or aesthetics experience is not required. We can teach you our treatments, technology and systems. What is much harder to teach—and what matters most to us—is warmth, judgment, curiosity, attention to detail and a genuine instinct for taking care of people.
What You’ll Do
- Create a warm, polished and seamless experience for patients from their first interaction through checkout and follow-up
- Manage scheduling, phone calls, emails, messages, payments and patient records with accuracy and professionalism
- Learn our treatments, products, protocols and technology so you can confidently answer questions and appropriately guide patients
- Maintain an organized, welcoming and patient-ready reception area and help support the overall appearance and flow of the clinic
- Assist with administrative tasks, inventory, room readiness and other day-to-day needs of a busy boutique practice
- Notice what needs to be done and take ownership—anticipating needs, solving small problems and helping the team stay one step ahead
About You
You may come from hospitality, restaurants, luxury retail, beauty, wellness—or somewhere completely different.

- An exceptional written and verbal communicator who understands that tone, grammar and details matter
- Naturally warm, polished and service-oriented, with good judgment and composure
- Highly organized and able to move between priorities without losing attention to detail
- Comfortable with technology and genuinely interested in learning new systems, tools and AI
- Curious, coachable and receptive to feedback
- A team player who takes initiative, follows through and takes pride in doing even the small things exceptionally well
Experience in a high-touch hospitality or service environment is a plus. Previous medical or aesthetics experience is not necessary.
