Summary
United Heating, Cooling & Plumbing is seeking a detail-oriented and personable Department Coordinator to support our growing HVAC replacement division. This is a multi-faceted role designed for someone who excels at customer interaction and administrative organization.
You will act as the primary point of contact for new inquiries and play a key role in maintaining long-term relationships with our existing customer base. The ideal candidate is a proactive communicator who can manage high-priority tasks while providing a professional experience for our homeowners.
Responsibilities
- Lead Coordination: Act as the first point of contact for all inbound replacement inquiries via phone, email, and web. Ensure all leads are responded to promptly to maintain a high level of customer service.
- Customer Outreach: Manage our "Installed System Review" program by contacting past customers to schedule advisory visits. You will use our internal database to reconnect with homeowners whose systems were originally installed by United.
- Administrative Support: Assist with the day-to-day operations of the replacement department, including billing, processing job "extras," and managing installation paperwork.
- Follow-Up Management: Conduct consistent follow-ups on open estimates and pending service hand-offs to ensure no customer request is overlooked.
- Data Entry & Reporting: Update and maintain customer records in our CRM, ensuring installation history and system details are accurate for the field teams.
Qualifications:
- Sales Experience Requirement: 2+ years of experience in outbound sales, account management, or revenue-generating customer engagement required. Experience with cold calling, lead qualification, and pipeline management is strongly preferred.
- Communication: Strong verbal and written communication skills with the ability to speak professionally and confidently with homeowners.
- Organization: Excellent time-management skills and the ability to prioritize tasks in a fast-paced environment.
- Technical Skills: Proficiency with Microsoft Office (Word/Excel) and a general comfort level learning new software (CRM/Dispatching software).

- Ability to pass a pre-employment background check, MVR check, and drug screen
