Position Summary
The Executive Administrative Assistant provides high-level administrative and operational support to the Chief Executive Officer and Executive Leadership Team. This role is responsible for managing complex calendars, coordinating meetings and travel, preparing executive communications, organizing confidential information, and supporting strategic initiatives. The Executive Administrative Assistant serves as a trusted partner to leadership by ensuring efficient executive operations, maintaining professionalism and confidentiality, and supporting organizational priorities across the Slick Slide and Slick City Brands.
Key Responsibilities
1. Executive Support & Calendar Management
- Manage complex executive calendars, scheduling meetings, appointments, and travel while balancing competing priorities.
- Coordinate internal and external meetings, including agendas, meeting materials, logistics, and follow-up action items.
- Screen calls, emails, and correspondence, responding or routing inquiries as appropriate.
- Prepare presentations, reports, correspondence, and executive communications with a high degree of accuracy and professionalism.
- Organize and maintain executive files, records, and confidential documentation.
2. Meeting & Event Coordination
- Coordinate executive meetings, leadership off-sites, board meetings, and company events.
- Prepare meeting agendas, presentations, reports, and meeting minutes.
- Track action items and follow up with stakeholders to ensure timely completion.
- Arrange catering, conference rooms, audiovisual equipment, and other meeting logistics.
- Support company events, leadership meetings, and special initiatives as assigned.
3. Travel & Administration Coordination
- Coordinate domestic and international travel arrangements, including flights, hotels, ground transportation, visas (as applicable), and detailed travel itineraries.
- Prepare executive travel schedules and ensure all travel logistics are organized, communicated, and executed efficiently.
- Monitor travel requirements, documentation, and itinerary changes while providing real-time support during executive travel, as needed.
- Assist with Divvy card administration, including receipt collection, coding support, reconciliation follow-up, and ensuring timely expense documentation.
- Coordinate executive purchases, vendor payments, and administrative requests in partnership with Finance.
- Maintain organized records of travel arrangements, purchases, and supporting documentation.
4. Administrative Operations
- Maintain executive filing systems, organizational records, and confidential documentation.
- Coordinate document preparation, Excel spreadsheets, electronic signatures, and contract routing.
- Assist with vendor communications, purchase requests, and administrative tracking.
- Recommend administrative process improvements to increase efficiency and organization.
- Conduct research and gather information on various topics, vendors, services, and business needs as requested, summarizing findings and providing relevant information to support decision-making.
5. Communication & Cross-Functional Support
- Serve as a professional point of contact for executives, franchisees, vendors, business partners, and internal team members.
- Coordinate communication between departments to support organizational initiatives.
- Maintain strict confidentiality regarding executive, financial, personnel, and business information.
- Assist with special projects, reporting, research, and additional administrative responsibilities as assigned.
Qualifications
Education:
- Associate's or Bachelor's degree in Business Administration, Communications, or a related field preferred.
- Equivalent combination of education and relevant experience considered.
Experience:
- 5–7 years of progressively responsible executive administrative support experience.
- Experience supporting C-level executives or senior leadership required.
- Experience coordinating complex calendars, travel, meetings, and confidential communications.
- Experience with Microsoft Office 365 and virtual collaboration platforms required.

· Ability to travel occasionally as business needs require.
Work Schedule
This is a full-time, exempt position. Standard work hours are Monday through Friday; however, flexibility is required to work extended hours, evenings, weekends, or holidays to support executive schedules, meetings, travel, company events, and other business priorities.

Pay: $65,000.00 - $85,000.00 per year
