Dental Treatment Coordinator
Position SummaryWe are a high-paced, very busy dental office that is continuing to grow, and we are looking for an experienced, organized, and dependable Dental Treatment Coordinator who can keep up with a fast-moving environment.
The Treatment Coordinator plays a key role in helping patients move forward with their recommended care while coordinating treatment plans, insurance benefits, scheduling, payments, referrals, and checkout. The ideal candidate must be comfortable multitasking, communicating with patients and providers, and managing a high volume of patients.
Primary Responsibilities
- Review and present treatment plans based on the doctor’s recommendations.
- Clearly explain recommended treatment, estimated insurance coverage, and patient financial responsibility.
- Collect copayments, deductibles, treatment deposits, and outstanding patient balances.
- Schedule follow-up appointments and treatment according to the doctor’s recommended treatment sequence.
- Coordinate patient treatment with doctors’ schedules, including appropriate appointment lengths and procedures.
- Follow up with patients who have unscheduled or incomplete treatment.
- Coordinate patient referrals to specialists and outside providers.
- Ensure necessary referrals, X-rays, and supporting documentation are sent to outside offices.
- Track referrals and coordinate patients’ return for continued treatment when appropriate.
- Perform dental insurance verification and accurately document benefits.
- Must have working knowledge of Medicaid, Medicare dental plans, and commercial PPO insurance plans.
- Understand deductibles, annual maximums, frequencies, limitations, waiting periods, covered services, and patient responsibility.
- Recognize when procedures require insurance preauthorization or predetermination.
- Communicate with insurance companies when additional benefit or coverage information is needed.
- Charge out completed patient procedures for the date of service.
- Verify procedure codes, treating provider, tooth numbers/surfaces, fees, and other necessary information before completing checkout.
- Review patient accounts and collect amounts due at checkout.
- Schedule the patient’s next appointment before they leave whenever possible.
- Work closely with doctors, dental assistants, insurance staff, and front-office team members to keep patient care moving efficiently.
- Maintain accurate treatment, financial, insurance, scheduling, and referral documentation.
Qualifications & Experience
Dental office experience is strongly preferred.
The ideal candidate should have:
- Experience with dental treatment planning and case presentation.
- Strong knowledge of dental terminology, procedures, and CDT codes.
- Experience verifying Medicaid, Medicare, and PPO dental insurance plans.
- Understanding of insurance eligibility, benefits, frequencies, limitations, deductibles, maximums, and preauthorization requirements.
- Experience collecting patient payments and discussing financial responsibility.
- Strong dental scheduling experience.
- Experience with dental practice-management software; Open Dental experience is preferred.
- Excellent communication and customer-service skills.
- Strong attention to detail and organizational skills.
- Ability to multitask and prioritize responsibilities in a very busy, high-volume dental office.

The Treatment Coordinator must be comfortable taking ownership of the patient’s treatment process—from treatment presentation and insurance verification through scheduling, payment collection, referrals, checkout, and follow-up care.

Pay: $18.00 - $25.00 per hour
