Job Summary
We are seeking a highly organized and proactive Part-Time Operations Assistant to support the Director of Operations for a growing commercial and residential cleaning company. Duties
- Support daily operations and assist the Director of Operations with administrative and operational tasks.
- Schedule and coordinate cleaning crews, client appointments, and inspections.
- Communicate with clients regarding scheduling, service updates, and issue resolution.
- Assist with employee onboarding, timekeeping, and payroll preparation.
- Assist with recruitment, posting jobs descriptions etc.
- Maintain accurate records, reports, and operational documentation.
- Track supplies, equipment, and inventory, placing orders as needed.
- Follow up with team members to ensure work orders and client requests are completed.
- Assist with quality control by tracking customer feedback and resolving service concerns.
- Support invoicing, data entry, and other administrative tasks.
- Handle special projects and other duties assigned by the Director of Operations.
- Support administrative tasks such as scheduling appointments, coordinating meetings, and managing calendars
- Qualifications
- 2+ years of administrative, operations, or office management experience (cleaning, facilities, or service industry experience is a plus).
- Excellent organizational and time management skills.
- Strong verbal and written communication skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Proficient in Microsoft Office and Google Workspace; experience with scheduling or CRM software is a plus.
- High level of professionalism, discretion, and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with QuickBooks or similar accounting software
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong communication skills, including phone etiquette and client interaction experience
- Bilingual abilities required; fluency in Spanish languages enhances client engagement
- Demonstrated computer literacy with the ability to adapt quickly to new software tools
- Previous experience in customer service or personal assistant roles is highly desirable
- Ability to handle confidential information discreetly while maintaining professionalism at all times.
Pay: $20.00 - $24.00 per hour
